About the Role
We are seeking a highly organized Transaction Coordinator / Virtual Assistant to support the sales operations of a roofing and construction company that has recently expanded into solar. The role involves managing day-to-day sales administration, client updates, and coordination of project-related tasks to ensure smooth communication and workflow between the sales manager, clients, and internal teams.
This is a full-time position (40 hrs/week) aligned with Pacific Standard Time (PST).
Key Responsibilities
Sales & Client Support
● Act as the main point of contact for client updates, inquiries, and follow-ups via email,
text, and occasional phone calls.
● Track sales transactions, update records, and maintain organized client files.
● Coordinate with clients on project status, ensuring they are informed throughout the
process.
Administrative & Transaction Coordination
● Manage workflows and daily sales updates for the sales manager.
● Organize permits, documentation, and communication with counties or local offices as
needed.
● Consolidate and maintain accurate records for roofing, construction, and solar projects.
● Prepare simple reports and updates for the sales manager.
Process & System Support
● Utilize project management and CRM tools to maintain a clear, systematic sales pipeline.
● Suggest and implement organizational processes or apps to streamline workflows.
● Maintain calendars and assist with scheduling as required.
