For this onsite role we are looking for an energetic, highly organized, and detail-oriented Account Coordinator. The Account Coordinator acts as a crucial link between the Account Services team, the Production/Creative teams, and what's going on in the field. This is an entry-level role designed for someone with the right attitude and work ethic more than deep experience. We’re looking for someone eager to learn, highly industrious, and excited to get hands-on across every part of live production and project delivery.
You’ll be immersed in training, attend events on-site, and gain exposure to production, learning how projects are built from the ground up. This is not a desk-only role – a significant portion of your time will be spent in the field, supporting real projects, handling logistics, and getting your hands dirty alongside the team. One day you may be coordinating schedules and admin, the next you may be sourcing materials, supporting load-ins, or helping manage on-site logistics.
Key Responsibilities:
Project Coordination & Administration:Assist with on-site event production and logisticsSupport the sourcing and organization of event materials, merchandise, and collateral.Attend production calls and on-site events as needed to provide logistical and administrative support.Support the internal workflow process, ensuring projects move efficiently between departments.Coordinate the scheduling of internal and external meetings, including booking rooms/virtual space.Assist with budget tracking and processing of invoices, vendor purchase orders (POs), and expense reports, ensuring all documentation is accurate and submitted on time.Client and Account Support:Assist others on the team in day-to-day client communication and project management.Document and distribute detailed meeting notes (internal and external) and track action items to ensure timely follow-up.Help prepare client-facing materials, including agendas, presentations, status reports, and wrap-up summaries.Maintain accurate and up-to-date client files, contact lists, and project documentation.
Required Skills & Experience
0-2 years of account experience at an XM or Production Agency.Exceptional organizational skills and a keen attention to detail.Excellent written and verbal communication skills.A proactive, can-do attitude and a strong sense of ownership.Comfortable moving between coordination and physical, on-site work.Someone industrious, reliable, and comfortable with hands-on workA team player who enjoys variety and fast-paced environments
