Purpose of the Role

The Accounts Payable Clerk will work within a team of four and report to the Accounts Payable Manager within the Financial Control team. They will be responsible for the completion of day-to-day tasks within the Accounts Payable function for eight Accounts Payable ledgers across our UK and international businesses, with a focus on continuous improvement.

They are responsible for the processing and payment of all supplier invoices in line with Trainline payment terms, working closely with PO raisers to ensure prompt receipting of invoices, processing employee expenses in line with the Travel & Expenses policy, processing multi-currency payment runs to suppliers and employees, and dealing with supplier and business queries. This role works closely with stakeholders across all departments and offices within Trainline.

Responsibilities

• Process supplier invoices accurately and efficiently, matching to PO and receipt
• New supplier set-ups and amendments
• Process staff expense claims in line with the Travel & Expenses policy
• Administration of company-issued credit card expenditure
• Process weekly multi-currency supplier and employee payment runs
• Deal with internal and external queries via the Accounts Payable mailbox
• Supplier statement reconciliations
• Investigate and resolve outstanding aged creditor items
• Administration of the AP cashbook and support the Treasury team with any AP payment-related queries
• Assist with AP month-end close procedures
• Assist non-finance employees with the purchasing process, including support with POs
• General maintenance of the purchase ledger
• Suggest and support process improvements within the team
• Other ad hoc finance tasks as required

Knowledge & Experience

Experience

• Minimum of two years’ experience in an Accounts Payable role
• Experience of international Accounts Payable ledgers
• Experience of UK and international VAT treatment
• Knowledge of completing supplier reconciliations and clearing aged balances
• Knowledge of ERP or finance systems

Skills

• Excellent attention to detail and a high level of accuracy, with strong numeracy skills
• Good understanding of basic accounting principles
• Confident user of Microsoft Excel
• Problem-solving mindset with the ability to investigate discrepancies
• Strong communication skills, both written and verbal
• Excellent personal organisation, effective time management, and ability to meet deadlines
• Ability to participate and work effectively within a team environment
• Proactive, with a desire to continuously improve processes
• Strong desire to learn and develop
