Position Overview
We are seeking a detail‑oriented and organized AV Project Coordinator to support our client’s Audio‑Visual (AV) team in planning and executing AV system integration and upgrade projects. In this role, you will play a critical part in tracking project progress, coordinating with vendors, preparing project documentation, and communicating status updates through the client’s internal task management system.
This role is ideal for a proactive self‑starter who thrives in fast‑paced environments and is looking to grow within a client‑facing project coordination position. What You Will Do
- Gather required information to support AV room designs (e.g., floor plans, site photos, HVAC levels, materials, and existing equipment assessments).
- Track and report progress across multiple AV projects, ensuring tasks and milestones remain on schedule.
- Provide regular project status updates through the client’s internal task management system.
- Monitor project budgets and expenses in coordination with the finance team; support preparation of budget updates.
- Coordinate with vendors and internal teams to ensure AV components are delivered and installed on schedule.
- Support installation package preparation, including documentation, checklists, and project materials.
- Review vendor proposals for completeness and accuracy prior to approvals.
- Track changes in project scope and support communication of those changes to relevant stakeholders.
- Participate in project meetings and maintain detailed notes aligned with MSL (Minimum Standards List) and client standards.
- Contribute to lessons learned and post‑project evaluations, capturing feedback and best practices.
- Maintain organized project documentation and support reporting and administrative tasks.
What You Will Need to Succeed
- 3+ years of experience in project coordination or administrative support, ideally in AV, IT, or technology‑related fields.
- Strong attention to detail with excellent organization and time management skills.
- Proficiency with project management and task‑tracking tools.
- Excellent written and verbal communication skills.
- Ability to coordinate with multiple stakeholders and vendors while managing competing priorities.
- Familiarity with AV systems or construction project documentation (preferred).
- Experience with budgeting or financial tracking (desired).
- Proficiency with Microsoft Office and/or Google Workspace.
- Collaborative, team‑oriented mindset with a proactive, problem‑solving approach.
