Branch Operations General Coordinator

Operations Support – Hỗ trợ Vận hành

- Oversee, support daily operations to ensure smooth functioning./ Giám sát và hỗ trợ hoạt động vận hành hằng ngày nhằm đảm bảo hệ thống vận hành trơn tru, hiệu quả.

- Coordinate with Diag Branch Operations team to develop and increase operational efficiency./ Phối hợp với đội ngũ Vận hành Chi nhánh của Diag để xây dựng và nâng cao hiệu quả vận hành.

- Planning operations, scheduling, and organizing internal events./ Lập kế hoạch vận hành, sắp xếp lịch làm việc và tổ chức các sự kiện nội bộ.

- Develop, update, and maintain internal SOPs and standards./ Xây dựng, cập nhật và duy trì các Quy trình vận hành chuẩn (SOPs) và tiêu chuẩn nội bộ.

- Monitor and support adherence to operational SOPs, service timelines, and internal protocols./ Theo dõi và hỗ trợ việc tuân thủ SOPs vận hành, thời gian cung cấp dịch vụ và các quy trình nội bộ.

- Conduct routine audits to ensure the Branches are functional, well-maintained and displayed in accordance with company regulations./ Thực hiện kiểm tra, đánh giá định kỳ nhằm đảm bảo các chi nhánh hoạt động hiệu quả, được bảo trì tốt và trưng bày đúng theo quy định công ty.

- Identify operational bottlenecks and implement improvement initiatives across branches./ Xác định các điểm nghẽn trong vận hành và triển khai các sáng kiến cải tiến trên toàn hệ thống chi nhánh.

- Coordinate with Head nurse to maintain service quality and process standardization./ Phối hợp với Trưởng Điều dưỡng nhằm duy trì chất lượng dịch vụ và chuẩn hóa quy trình.

Facility and Consumables Management/ Quản lý Cơ sở vật chất & Vật tư tiêu hao

- Ensure all branches maintain basic facility standards (cleanliness, functionality, safety)./ Đảm bảo tất cả các chi nhánh đáp ứng các tiêu chuẩn cơ bản về cơ sở vật chất (vệ sinh, chức năng, an toàn).

- Manage inventory and usage of consumables, including regular tracking and forecasting needs./ Quản lý tồn kho và việc sử dụng vật tư tiêu hao, bao gồm theo dõi định kỳ và dự báo nhu cầu.

- Ensure optimal use of resources within approved budget limits./ Đảm bảo sử dụng nguồn lực tối ưu trong phạm vi ngân sách được phê duyệt.

- Coordinate Procurement, Construction & Maintenance and related department for equipment, supplies, and repairs./ Phối hợp với các bộ phận Mua sắm, Xây dựng & Bảo trì và các phòng ban liên quan trong việc cung ứng thiết bị, vật tư và sửa chữa.

- Review and propose repairs and renovations at branches to ensure functional adequacy and improve the overall customer experience./ Rà soát và đề xuất sửa chữa, cải tạo chi nhánh nhằm đảm bảo công năng sử dụng và nâng cao trải nghiệm khách hàng.

Customer Experience Complaint Resolution/ Xử lý Khiếu nại & Trải nghiệm Khách hàng

- Monitor customer journey touchpoints and ensure a consistent, positive experience across all branches./ Theo dõi các điểm chạm trong hành trình khách hàng nhằm đảm bảo trải nghiệm đồng nhất và tích cực trên toàn hệ thống chi nhánh.

- Collect and analyze Net Promoter Score (NPS) and customer feedback to identify pain points and propose improvement./ Thu thập và phân tích chỉ số NPS và phản hồi khách hàng để xác định các điểm cần cải thiện.

- Implement proactive measures to enhance satisfaction and reduce recurring issues./ Triển khai các biện pháp chủ động nhằm nâng cao sự hài lòng và giảm thiểu các vấn đề tái diễn.

- Root cause analysis and coordinate timely resolution of complaints./ Phân tích nguyên nhân gốc rễ và phối hợp xử lý khiếu nại kịp thời, hiệu quả.

Vendor and Cross-Functional Coordination – Phối hợp với các Phòng ban và Nhà cung cấp

- Facilitate smooth communication flow between branch staff and back-office support teams to resolve operational issues promptly./ Đảm bảo luồng thông tin thông suốt giữa nhân sự chi nhánh và các bộ phận hỗ trợ hậu cần để xử lý nhanh chóng các vấn đề vận hành.

- Coordinate with internal departments (laboratory, medical, sales & marketing, technology, and QA) to ensure smooth operations and consistent quality standards across the entire system./ Phối hợp với các phòng ban nội bộ (Xét nghiệm, Y khoa, Kinh doanh & Marketing, Công nghệ, QA) nhằm đảm bảo vận hành ổn định và chất lượng dịch vụ đồng nhất trên toàn hệ thống.

- Work with partners and suppliers to ensure the timely and accurate implementation of products and services./ Làm việc với đối tác và nhà cung cấp để đảm bảo việc triển khai sản phẩm và dịch vụ đúng tiến độ và chính xác.

- Evaluate vendor performance regularly based on SLAs, service feedback, and cost efficiency, recommend renewals or changes where needed./ Đánh giá định kỳ hiệu quả nhà cung cấp dựa trên SLA, phản hồi dịch vụ và chi phí; đề xuất gia hạn hoặc thay đổi khi cần thiết.

Service Development and Operations Enhancement Projects– Các dự án Phát triển dịch vụ & Nâng cao hiệu quả vận hành. 

- Take part in business development projects aimed at expanding services, increasing revenue, or improving operational efficiency at the branch level./ Tham gia các dự án phát triển kinh doanh nhằm mở rộng dịch vụ, gia tăng doanh thu hoặc nâng cao hiệu quả vận hành tại chi nhánh.

- Collaborate with relevant departments to roll out new service packages, campaigns, or promotional programs at branches./ Phối hợp với các phòng ban liên quan để triển khai các gói dịch vụ mới, chiến dịch hoặc chương trình khuyến mãi tại chi nhánh.

- Provide operational data, field analysis, and branch feedback to support the design of practical and feasible strategies./ Cung cấp dữ liệu vận hành, phân tích thực địa và phản hồi từ chi nhánh để hỗ trợ xây dựng các chiến lược khả thi và hiệu quả.

- Monitor project performance post-implementation and propose improvements for subsequent phases./ Theo dõi hiệu quả dự án sau triển khai và đề xuất cải tiến cho các giai đoạn tiếp theo.

Training and Development – Đào tạo và phát triển

- Onboard new staff by introducing the department's processes, policies, and rules, and monitor the training program for new administrative staff./ Hỗ trợ hội nhập nhân sự mới bằng việc giới thiệu quy trình, chính sách, quy định của bộ phận và theo dõi chương trình đào tạo cho nhân viên hành chính mới.

- Design a customer service training program for new staff and supplementary courses for low-performing teams./ Thiết kế chương trình đào tạo dịch vụ khách hàng cho nhân sự mới và các khóa bồi dưỡng bổ sung cho các đội nhóm có hiệu suất chưa đạt.

- Implement and monitor 1:1 direct coaching between the head nurse and staff, including simulated training on handling difficult cases (children, elderly, re-sampling, customers with complaints, etc.)/ Triển khai và theo dõi hoạt động coaching 1:1 trực tiếp giữa Trưởng Điều dưỡng và nhân viên, bao gồm đào tạo mô phỏng các tình huống khó (trẻ em, người cao tuổi, lấy mẫu lại, khách hàng khiếu nại, v.v.).

- Coordinate with internal doctors and the company internal training department to improve medical knowledge and customer service skills./ Phối hợp với đội ngũ bác sĩ nội bộ và bộ phận đào tạo của công ty nhằm nâng cao kiến thức y khoa và kỹ năng dịch vụ khách hàng.

- Participate in personnel development activities as needed./ Tham gia các hoạt động phát triển nhân sự khác theo yêu cầu.

Other tasks assigned by line manager/ Các công việc khác được phân công bởi quản lý trực tiếp.  

Job Requirement – Yêu cầu công việc: 

- Possessing a bachelor’s degree in economics, Management, Healthcare or a related field preferred/ Ưu tiên bằng Cử nhân chuyên ngành Kinh tế, Quản trị, Y tế hoặc các ngành liên quan. 

- Experience in multi-location operations or working in industries such as healthcare, retail, or service-based businesses/ Có kinh nghiệm làm việc trong môi trường đa chi nhánh hoặc các ngành như y tế, bán lẻ, hoặc dịch vụ.

- Strong organizational and coordination skills with the ability to manage multiple branches and workstreams simultaneously/ Kỹ năng tổ chức và điều phối tốt: có khả năng theo dõi nhiều đầu việc cùng lúc tại hệ thống nhiều chi nhánh.

- Experience in cross-functional collaboration, complaint handling, process improvement, or project coordination is a strong advantage./ Có kinh nghiệm làm việc liên phòng ban, xử lý khiếu nại, cải tiến quy trình hoặc vận hành dự án là một lợi thế lớn.

- Excellent communication skills, able to work effectively with frontline teams, mid-level managers, and senior leadership./ Kỹ năng giao tiếp rõ ràng, chuyên nghiệp và có khả năng làm việc hiệu quả với nhiều cấp bậc (nhân viên, trưởng nhóm, quản lý cấp cao).

- Ability to coach, train, and develop staff for performance and service excellence/ Có khả năng xây dựng, đào tạo và phát triển đội nhóm.

- Open to learning, adapting, and contributing to long-term organizational growth./ Sẵn sàng học hỏi, thay đổi và đóng góp cho mục tiêu phát triển dài hạn của công ty.

- Strong Microsoft office skills./ Kỹ năng sử dụng Tin học văn phòng tốt.

- Honest, reliable, and responsible, with a proactive approach to task management./ Trung thực, đáng tin cậy, có tinh thần trách nhiệm và chủ động trong quản lý công việc.

- Medical knowledge is a plus, verbal English and communication/ Kiến thức về y tế là một lợi thế, có khả năng giao tiếp bằng tiếng Anh.
