This role is based in our Irving, TX office.
As the Commercial Support Specialist, you will provide high-level support to multiple members of the Informa Markets Leadership team. This role goes beyond traditional administrative tasks, offering you the opportunity to be at the forefront of impactful projects and strategic initiatives.
You will be a liaison between leadership and the broader team. You'll help communicate initiatives effectively, track project progress, and provide regular updates to the leadership team. You'll maintain a pulse on the projects that will continuously shape our group's direction and success, positioning you as an integral part of our strategic operations.

Role Accountability and Duties:
Administrative Support
- Provide executive support to two leaders, managing their individual needs and priorities effectively
- Excellent calendar management skills, including the ability to coordinate complex executive meetings across multiple time zones
- Support domestic and international travel, accommodation and visa arrangements
- Process expense reports across two different online systems (Training will be given)
- Handle correspondence, prepare reports, and create presentations as needed. Including, editing verbal and written communication, proposals and presentations
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Manage the processing of invoices via online system (Training will be given)
- Book meeting rooms, refreshments, arrange lunches for internal meetings as required
- Take a proactive role in organizing and executing social activities and team building events such as Awards parties and charity socials.
- Undertake administrative and light office management duties as assigned
- Flexibility to cover senior EA's absence, as and when required
Project Management
- Assist in the management of various projects, ensuring timelines are met and deliverables are completed.
- Track project progress and provide regular updates to the leadership team.
- Coordinate with different functional groups to gather information and ensure project goals align with company objectives.
Strategic Planning Participation
- Attend strategic planning meetings and sessions as an observer, taking detailed notes and providing logistical support.
- Compile and organize information discussed in strategic meetings to assist in decision-making processes.
High-Level Communications
- Draft, proofread, and edit high-level communications, including emails, reports, and presentations.
- Serve as a liaison between leadership and team ensuring effective communication and follow-up.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
Relationship Management
- Build and maintain relationships with key stakeholders, both internal and external, acting as a point of contact to ensure their needs are met and their concerns are addressed promptly.
- Building strong relationships with all levels across the group and key stakeholders, both in the US and UK
- Prioritize and multi-task to meet deadlines in a fast paced, team environment
- Demonstrate initiative, resourcefulness and an ability to manage multiple assignments under various deadlines
- Champion and support company culture through active participation in office activities and social initiatives
Qualifications
- 3+ years of similar professional experience
- Excellent time management skills
- Able to handle confidential information with discretion and professionalism
- Proficiency with Microsoft Office, especially Outlook, Teams, PowerPoint and Excel
- Adaptability and comfort with new technologies and AI tools
- The ability to work well without close supervision and multitask
- Keen attention to detail and strong organizational skills
- Excellent communication and customer relations skills
- A proactive, solution-oriented approach
- Positive and energetic personality with strong interpersonal skills
- Ability to work additional hours during peak business times
- Travel to trade shows and meetings as needed

The salary range for this role is $65,000 — $85,000 based on experience.
