We are seeking an experienced Document Controller to join our team on a large-scale data centre project in Portugal. The successful candidate will be responsible for managing, organising, and maintaining all project documentation, ensuring accuracy, compliance, and accessibility. This includes controlling document workflows, maintaining revision records, distributing documents to relevant stakeholders, supporting QA/QC processes, and ensuring timely submission of reports, drawings, and correspondence in line with project requirements and company standards.
- Ensure all project documentation adheres to company standards and the Integrated Management System (IMS).
- Distribute and track documents to ensure that all relevant stakeholders receive and have access to the latest versions of project documentation (including drawings, schedules, specifications, contracts, submittals, RFIs, and reports).
- Maintain and update project registers such as the document register, RFI register, action log, and issue log.
- Analyse and summarise data from various project logs, highlighting outstanding actions or overdue items.
- Generate regular reports to support project tracking, including document status updates and overdue reports.
- Ensure accurate storage and version control of documents in compliance with project document control procedures.
- Liaise with external consultants and contractors to ensure their documentation complies with project standards.
- Support Quality Assurance (QA), Quality Control (QC), and Health & Safety (HSE) initiatives by assisting with audits and ensuring document-related compliance.
Requirements
· Minimum of 2 years’ experience in a similar site-based role.
· Excellent verbal and written English communication skills.
· Strong organisational and interpersonal abilities, with attention to detail.
· Proficient in Microsoft Office Suite; high IT literacy is essential.
· Experience with knowledge management or document control systems is advantageous
