Role
: Executive Assistant/Marketing Specialist

Monthly Rate: $650 - $750/month

Availability: Part-time - 20 hours/week

Time Zone: MST business hours

3️⃣ 1-Minute Introduction Video – Record a short introduction video (preferably using Loom) and provide the link in your application. Before you do, check out these video tips and sample videos. Requirements

Experience Needed:

Phase 1: Core Operational Tasks (Immediate Priority)

- Enter Wholesale Orders:From PDF/email into Shopify, including individual product info, invoices, and packing slips

- CRM Management: Enter new contacts and leads from trade shows

- Graphic Prep For Manufacturing: Bonus skill: prepare print ready files. If not possible, collaborate with a dedicated graphic designer

- Create Product Photos: Create digital mock-ups of new products and edit photos according to brand guidelines.

- Create New Products in Faire & Shopify: Upload product listings, details, and images.

Phase 2 Customer & Order Support

- Inbox Management With Templates: Sort emails, respond to routine inquiries, flag priority messages, and organize receipts/orders/design inquiries in Google Drive

- Manage Wholesale Orders:Track orders end-to-end, ensure timely fulfillment, flag delays, and communicate updates to clients.

- Ordering Products For Custom And Stock Buyers: Manage suppliers and place orders based on guidelines

Phase 3: Marketing & Engagement

- Send Wholesale And Retail Emails (Quarterly & Monthly) – Draft, schedule, and send campaigns

- Social Media Support – Schedule and post content

- Pinterest Management – Pin content, track engagement, and maintain boards

- Cold Wholesale Outreach – Internet research to identify new leads and send a series of cold outreach emails using email templates.

- Tradeshow Outreach – Prepare follow-ups and new contact communications

- New Product Launches – Coordinate marketing and launch activities

Phase 4: Growth & Website Optimization

- Revamp Website To Focus On Custom Work:

- SEO On Website: Optimize pages, content, and product listings for search engines

- Add new shops, press, custom projects to website portfolio

Good to have:

- Experience with Pipedrive or similar CRM tools.

- Experience with email marketing (wholesale/retail campaigns, templates, and basic list management).

- Light social media experience for product-based brands.

- Familiarity with product based operations (wholesale, inventory, working with manufacturers).

- Ability to prepare print ready files and comfort working with Illustrator/Photoshop (especially if taking any graphics adjacent tasks).

Non-negotiable Requirements:

- Comfort working in Shopify and ability to pick up Faire quickly.

- Experience using Asana, or other similar task management applications, and be able to quickly learn to use Asana.

- Adobe Illustrator and Photoshop experience

- Strong organizational skills and comfort building/refining systems and processes for delegation.

- Reliable ownership of B2B and e-commerce workflows (orders, invoices, fulfillment tracking) with high accuracy.

- Clear, proactive communication and readiness to suggest process improvements.

Industry/Tools Experience:

- Shopify

- Faire

- Asana

- Pipedrive

- Potentially Slack for internal communication

- Adobe Illustrator and Adobe Photoshop

- Canva
