About the Role We’re seeking a proactive, tech-savvy Executive Assistant to support the founder and leadership team of a fast-growing iGaming SaaS (email service provider/CRM). You’ll keep calendars, inboxes, and follow-ups tight, coordinate meetings/travel, and help create simple systems/SOPs so the team can focus on growth.
Key Responsibilities
● Calendar & Inbox: Triage email, draft replies, schedule/reschedule across time zones, hold vendors/partners to timelines.
● Meeting Ops: Coordinate Zoom/Google Meet links, book rooms/venues, prep agendas, capture actions, drive follow-ups to closure.
● Travel & Events: Arrange flights/hotels/transport; handle conference logistics and on-site schedules.
● Executive Leverage: Draft message templates and responses (including overnight drafting for morning review), maintain priority lists, guard focus time.
● Light PM & SOPs: Create/update checklists, simple SOPs, and trackers for repeatable tasks (onboarding steps, cadence reminders, etc.).
● Coordination: Liaise with internal teams (product, CS, sales) and external partners; keep threads moving in Slack.
Must-Have Qualifications
● 3+ years as an Executive Assistant/Virtual EA in a startup or fast-moving environment.
● Excellent written English; confident drafting on behalf of executives.
● Mastery of Google Workspace (Gmail, Calendar, Docs/Sheets/Slides), Slack, and scheduling tools.
● Strong time-zone coordination and follow-through; anticipates needs, solves problems proactively.
● Discretion handling sensitive/commercial information; comfort operating in regulated industries.
Nice-to-Haves
● Experience in SaaS, adtech/martech, iGaming, fintech, or other regulated spaces.
● Light process design (SOPs), task tools (Asana/ClickUp/Trello/Notion).
● Basic familiarity with CRM (HubSpot/Pipedrive) and e-signature (DocuSign/PandaDoc).
