The Executive Assistant to the Provost provides high-level administrative, organizational, and project support to the College’s Chief Academic Officer. This role manages the Provost’s complex calendar, coordinates meetings and communications with internal and external partners, and ensures smooth day-to-day operations across Academic Affairs. The position requires excellent judgment, strong writing skills, and the ability to handle sensitive information with discretion.
The Executive Assistant (EA) serves as a central point of coordination for academic initiatives, supporting projects, events, and processes that advance the College’s mission. Responsibilities include preparing materials, tracking deadlines, maintaining records, and helping streamline workflows for the Provost and Academic Affairs leadership. The ideal candidate is proactive, detail-oriented, and comfortable navigating a fast-paced environment with shifting priorities

Minimum Qualifications:
- Associates degree required.
- Two to four years prior experience working in a higher education or related setting.
- One year of experience supporting an executive level position.
- A proven track record of successfully managing multiple projects and priorities at the strategic level.
- Demonstrated strong operational detail-orientation, analytical skills, and problem-solving skills.
- Demonstrated strong written and oral communication skills.
- Demonstrated ability to define clear objectives and enforce accountability for meeting deadlines.
- Proficiency in Microsoft Office (Excel, Word), Google Suite, webpage maintenance, and other associated digital platforms and workflows.
- A demonstrated ability to work effectively and collaboratively with a wide variety of constituencies (e.g., including members of the Provost's leadership team and Board of Trustees, faculty, administrators, students, parents, and community members).
Preferred Qualifications:
- Bachelor’s degree.
- 4 or more years prior experience working at a 4-year college or university setting with a strong liberal arts foundation with multiple years of experience supporting an executive level position.
Key Responsibilities:
- Maintaining the daily and weekly schedule of the Provost including scheduling meetings, events, and other associated logistics.
- In collaboration with the Associate Provost and other stakeholders, manage hiring and faculty record-keeping including adjuncts, instructors, and faculty on extended contract. Serve as primary administrative liaison between academic affairs and the human resources office.
- Major event planning and coordination associated with the Provost’s office including new student convocation, commencement, and other high-profile college events such as the Nielsen Speaker.
- Serves as the operations manager for academic affairs including expense reconciliations, faculty development paperwork and support, notary public, building manager for Laursen, and a liaison for faculty facility issues and needs.
- Supports Associate Provost and other Deans as possible on a variety of administrative matters.
- Academic record-keeping including course evaluation work flows, faculty annual reports and faculty reviews, syllabi audits, and other associated documentation.
- Supports accreditation and College-wide institutional effectiveness/assessment work in collaboration with the Associate Provost.
- Serves as the internal administrator for the Provost’s committees and Board of Trustee business.
- Functions as primary academic affairs liaison and coordinator on special projects that may arise over the course of the year at the discretion of the Provost.
- Collaborates with the office of the President and, in particular, partners with the Executive Assistant to the President on administrative matters.
- Provides a welcoming function of the Office of the Provost and the College for external guests and internal constituents.
- Serves on College committees, task forces and special project groups as appropriate.
- Actively participates in broader Warren Wilson College activities.
- Performs other duties as assigned.
