• Validate pay rates and reconcile billable resources to ensure accuracy before customer invoicing
• Coordinate HR onboarding processes and provide payroll administration support
• Oversee timesheet management and invoice reconciliation tied to customer contracts
• Serve as first-line troubleshooter for administrative issues and employee-facing communications
• Develop operational policies and procedures using AI tools to support business scaling initiatives

Requirements

• Candidate must have demonstrated availability to work within Pacific Standard Time zone.
• Candidate must possess 1-2 years of professional experience in administrative, payroll, HR, or billing roles.
• Candidate must have prior documented remote work experience.
• Candidate must demonstrate proficiency in managing billable hours, timesheets, invoices, and reconciliation processes.
• Candidate must be capable of supporting comprehensive HR functions including employee onboarding, benefits coordination, and hiring administration.
• Candidate must have working knowledge of ADP payroll systems for processing tax forms and tracking employee benefits.
• Candidate must be able to effectively coordinate with external accounting firms for payroll and invoice reconciliation.
• Candidate must show understanding of California and federal labor law compliance requirements.
• Candidate must maintain meticulous records related to customer billing and supplier rate tracking.
• Candidate must demonstrate daily proficiency with Microsoft and cloud-based productivity tools.
• Candidate must exhibit strong ability to rapidly learn compliance requirements using AI and internal reference resources.
• Candidate must have completed high school or equivalent educational certification.
• Candidate must be comfortable using generative AI tools for drafting administrative documentation.
