Intake Coordinator (Sales Support)
About the Role
• First point of contact for families and referral partners seeking services.
• Supports the sales process by handling inbound inquiries, collecting information, and scheduling care consultations.
• Acts as a trusted, organized, and empathetic guide—ensuring every inquiry is handled promptly, accurately, and professionally.
• This role is phone-based and is a key support partner to the sales team, without any closing or hunting responsibilities.
What You’ll Do
• Answer all inbound service inquiries by phone.
• Clearly explain service options, rates, and value.
• Convert inbound calls into scheduled care consultations.
• Log all inquiries, calls, notes, and follow-ups in Salesforce.
• Maintain accurate records in Salesforce and WellSky.
• Complete follow-up calls to support consult scheduling.
• Conduct quality assurance calls with current clients to support service quality.
• Handle day-to-day phone communications for the team.
• Coordinate lunch-and-learn events with hospitals and community partners.
• Support marketing efforts by setting appointments and organizing materials.
• Serve as the first point of contact for families and referral partners.
• Support the sales team in a sales development representative (SDR)-style role focused on activity and pipeline health.
What You Bring
• Strong sales or customer-facing background with phone-based conversion experience.
• Clear, professional communication skills (English-speaking role; no heavy accent).
• Confidence discussing services, pricing, and processes.
• Strong follow-up habits and attention to detail.
• 6 months to 1 year of relevant experience.
• Experience with Salesforce or similar CRM systems.
• Ability to stay organized across multiple systems.
• Professional, empathetic, and client-focused approach.
• Self-motivated with a consistent work ethic.

• Timely responses to every inbound inquiry.
• Strong conversion from inquiry to scheduled care consultation.
• Clean, accurate, and up-to-date CRM data.
• Consistent weekly activity and follow-through.
• Positive feedback from callers, clients, and internal teams.
Important to Know
• This role does not involve cold calling, prospecting, or closing deals.
• Functions as an administrative and sales support partner, ensuring inbound leads are efficiently managed and smoothly transitioned to the Care Consultant team.
