We are seeking a highly organized and detail-oriented Bilingual Legal Assistant to support our dispute resolution practice. This role is ideal for a professional with hands-on experience managing communications with U.S. state courts (federal court experience is a plus), as well as arbitration institutions.
The Legal Assistant will serve as a critical liaison between the attorney, courts, arbitration centers, clients, and internal team members, ensuring smooth coordination of filings, calendaring, and dispute-related logistics. Fluency in English and Spanish is essential, as our clients are primarily based in Latin America.

Key Responsibilities
• Court & Arbitration Liaison
• Communicate with U.S. state courts (and federal courts, if experienced) as well as arbitration institutions.
• Manage procedural deadlines, filings, and rescheduling requests.
• Electronically file documents using court and arbitration e-filing systems.
• Administrative & Case Support
• Open new client and matter files following firm protocols.
• Draft and manage engagement letters.
• Access and organize case documentation within the firm’s systems.
• Review AI-generated translations for accuracy (no manual translation required).
• Calendar & Client Communication
• Maintain the attorney’s calendar, including deadlines, hearings, and meetings.
• Ensure all court/arbitration dates are properly tracked and updated.
• Communicate with clients and staff on behalf of the attorney to coordinate logistics or gather information.

Skills
• Fluent in English and Spanish (spoken and written).
• Prior experience communicating with U.S. courts (state courts required; federal courts a plus).
• Experience with U.S. law firms.
• Skilled in legal calendaring, including court and arbitration deadlines.
• Strong organizational and time-management skills.
• Professional communication skills and discretion in handling sensitive matters.
• Ability to work independently and anticipate attorney needs.
• Proficiency with legal and document management systems (e.g., NetDocs, Law Toolbox, LMS, Westlaw/LexisNexis, SharePoint).
• Knowledge of dispute resolution and arbitration processes.
• Experience supporting attorneys in multi-jurisdictional matters.
• Familiarity with Secretary of State portals and procedural filings.
