About the Role
The role is responsible for managing general office administration, including facility maintenance, utilities, supplies, and vendor coordination. It supports onboarding and offboarding processes, daily operational tasks, and financial administration such as expense processing and recordkeeping. The position also assists in organizing company events, managing office purchases, tracking insurance renewals, and preparing regular administrative reports. Additionally, the role handles ad-hoc duties to ensure smooth and efficient office operations.
Responsibilities
- Oversee general administrative matters, including facilities upkeep, utilities, cleaning services, pantry supplies, and office stationery.
- Assist in managing office access cards, keys, and coordination with building management or real estate agents.
- Support onboarding and offboarding processes, including preparing staff documentation and equipment handling.
- Support daily administrative operations to maintain an efficient and well-organized office environment.s.
- Handle and process office expenses, reimbursements, and payments on time.
- Maintain detailed and organized records of invoices, receipts, and related documents.
- Assist in planning and organizing company events, celebrations, and team activities.
- Purchase office supplies and gift cards while keeping proper records for reconciliation.
- Keep track of company insurance policies and ensure timely renewal, providing reminders well in advance of expiry dates
- Prepare and submit monthly administrative reports to management or headquarters.
- Perform any other ad-hoc administrative duties assigned.
Requirements
- Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
- At least 1 year of relevant administrative experience preferred (fresh graduates are encouraged to apply).
- Good computer literacy, especially in Microsoft 365 and Jira is an added advantage.
- Excellent organizational, coordination, and time management skills.
- High integrity, reliability, and attention to detail.
- Able to work independently and collaborate effectively in a team.
- Proficiency in both English and Mandarin is a plus.
