About the Role
We are hiring an Operations & Grant Support Specialist (Virtual Assistant) to own five core areas of our business: Virtual Assistant (VA), Small Grant Writing, Grant Reporting, Accounts Receivable (AR), and Accounts Payable (AP). This is a full-time, 40-hour/week role focused on written communication,
organization, accuracy, and fast turnaround times. You will work closely with our CEO and Client Account Manager(s) to ensure clients are onboarded quickly, grants move forward smoothly, reports are submitted correctly, and financial operations are handled on time. This is a high-responsibility role for someone who is detail-oriented, organized, self-starting, and disciplined—capable of taking initiative and handling several
workflows while maintaining focused, one-task-at-a-time execution.

What You Will Do
Virtual Assistant (VA)
● Complete onboarding tasks within 24 hours of client signup
● Complete administrative and one-off tasks quickly
● Write and publish blogs and success stories and recycle them into LinkedIn posts & newsletters, email campaigns, and AI artifacts
Small Grant Writer
● Write and submit Small Grant applications from start to finish
● Communicate with clients in writing for clarity and document collection
Grant Reporter
● Complete claim submissions and final reports for Small & Big Grants
● Update client’s’ grant status dashboards and communicate with grant agencies as needed
Accounts Receivable (AR)
● Collect credit cards, set up monthly recurring invoices, and collect payments on their due dates.
● Enforce payment terms and maintain accurate records
Accounts Payable (AP)
● Process employees’ monthly payroll, pay contractors, verify invoices, and manage expenses

What You Need to Bring

  • Minimum 2 years’ experience in administrative, operations, and/or grant-related work
  • Excellent written & oral English communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks simultaneously while focusing on completing one at a time
  • Fast responsiveness and strong follow-through
  • Experience with tools including Google Workspace, Monday.com, Motion.io, ChatGPT, WhatsApp, and Zoho Books & Zoho Analytics
  • Availability to meet with the Impact Applications team every Tuesday and Friday at 9am MDT and work 9am to 5pm Alberta MDT Monday to Friday.
  • High willingness to learn, strong self-responsibility, accountability, and initiative, with the ability to independently own tasks from start to finish, maintain focused execution in a fast-paced environment, and follow all processes accurately and consistently
