Role Overview
Our client is a performance-driven digital marketing and media buying agency.
They specialize in helping brands scale through paid advertising, primarily across platforms such as Meta (Facebook/Instagram), TikTok, and Google. Their focus is on data-backed growth—combining creative strategy, ad production, funnel optimization, and media buying to drive customer acquisition and revenue.
At a high level our client:
- Manages and scales paid media campaigns
- Develops high-converting ad creatives and marketing funnels
- Uses performance analytics to optimize spend and ROI
- Acts as a growth partner for e-commerce and digital-first brands
In simple terms: they help businesses grow faster by turning ad spend into predictable, measurable revenue through performance marketing.
Key Responsibilities
Agency Operations & Process Management
- Build, document, and continuously improve SOPs for client onboarding, campaign launches, optimization workflows, and reporting.
- Own and maintain internal project management systems (preferably Notion).
- Track deliverables and ensure deadlines are consistently met.
- Identify operational bottlenecks and implement process improvements.
Client Delivery & Account Support
- Oversee client onboarding and ensure smooth campaign launches.
- Coordinate efforts between media buyers, creatives, and support teams.
- Register, license, and bond client giveaways if required.
- Ensure clients receive consistent communication and performance reporting.
- Step in to resolve operational issues affecting client performance or satisfaction.
Contractor & Team Management
- Manage contractors and remote team members (media buyers, creatives, developers, VAs).
- Conduct weekly accountability meetings and performance check-ins.
- Hire and onboard new contractors as workload increases.
- Set clear expectations, KPIs, and ownership across roles.
Financial Operations & Cash Flow Support
- Oversee invoicing, collections, and payment tracking.
- Ensure billing processes are followed and clients remain current.
- Coordinate with bookkeeping and accounting partners.
- Track basic agency KPIs: revenue, expenses, margins, and utilization.
Founder Leverage & Strategic Execution
- Take administrative and operational tasks off the founder’s plate.
- Translate business priorities into execution plans.
- Proactively surface risks, staffing needs, and growth constraints.
- Act as the operational right hand to leadership.
Requirements
- 5+ years of experience in agency operations, client services management, or digital marketing operations.
- Strong understanding of performance marketing agency workflows.
- Experience managing remote teams and contractors.
- Highly organized with strong systems and documentation skills.
- Comfortable holding people accountable and driving execution.
- Able to prioritize under pressure and manage multiple active clients simultaneously.
- Excellent communication skills in English.
- What This Role Is Not
- Not purely strategic — this is a hands-on execution role.
- Not just project coordination — full ownership of operations and delivery is expected.
- Not a junior administrative role — must be comfortable managing people, processes, and systems.
- Success Metrics (First 90 Days)
- All client workflows clearly documented and operational via SOPs.
- Consistent on-time campaign launches and reporting.
- Reduced founder involvement in daily operations.
- Improved accountability and delivery across contractors.
- Stable billing and collections process.
- Nice-to-Have / Bonus Experience
- Experience with sweepstakes, giveaways, or lead-gen marketing.
- Experience scaling agencies from 6-figure to 7-figure+ MRR.
- Familiarity with Meta Ads, TikTok Ads, Northbeam, Klaviyo, Shopify, Notion, and analytics tools.
