Role Overview

The Operations Specialist role sits at the intersection of data management, supplier communication, and procurement execution. You will support sourcing and deployment activities by cleaning and validating supplier data, coordinating directly with US-based vendors, and ensuring sourcing events run smoothly from start to finish. This execution-heavy role is ideal for candidates who are detail-oriented, analytically confident in Excel, and comfortable communicating with suppliers by phone and email. A background in consulting, supply chain, or procurement operations is strongly preferred.

This role is independent but highly collaborative, requiring cross-functional communication with internal teams and external suppliers. Candidates who thrive here are proactive, reliable, highly organized, and excel in fast-paced, detail-driven environments.

Your Impact:

  • Ensure data accuracy and integrity to support sourcing and procurement events.
  • Maintain high operational efficiency by coordinating supplier communications and follow-ups.
  • Contribute to timely deployment of sourcing events that directly impact organizational buying efficiency.
  • Identify gaps in processes and propose improvements to enhance workflow and reduce operational friction.
  • Support measurable improvements in supplier response rates, data quality, and deployment execution speed.

Core Responsibilities

Data Cleaning & Analytics Support – 50%

  • Clean, structure, and validate supplier, product, and quantity data using Excel or Google Sheets.
  • Compare extracted data against source invoices to ensure accuracy and completeness.
  • Support data onboarding for new customers and sourcing events.
  • Identify data inconsistencies and proactively flag issues to the deployment team.

Supplier Communication & Coordination – 30%

  • Call and follow up with US-based suppliers before and during sourcing events.
  • Clearly communicate participation requests, timelines, and required inputs.
  • Track supplier responses and ensure timely follow-ups to avoid delays.
  • Act as an operational point of contact between suppliers and internal teams.

Procurement Operations & Deployment Support – 20%

  • Support the deployment team in executing sourcing events end to end.
  • Maintain and update supplier and product records within internal systems.
  • Perform light reporting on sourcing activity and operational progress.
  • Flag process gaps and suggest improvements to increase efficiency.

Requirements

Must-Haves (Required)

  • 1–4 years of experience in operations, business operations, procurement, or supply chain roles with strong Excel workflow experience.
  • Excellent Excel or Google Sheets skills (data cleaning, validation, comparisons).
  • High attention to detail and ability to work with structured and unstructured data.
  • Confidence communicating with suppliers in English via phone and email.
  • Ability to deliver clear messages and follow up persistently with external stakeholders.

Nice-to-Haves (Preferred)

  • Consulting, procurement, or supply chain background.
  • Experience supporting RFPs or sourcing events.
  • Exposure to manufacturing, logistics, or supplier-heavy environments.
  • Experience working with sourcing or e-procurement platforms.

Tools Proficiency
