Who We're Looking For
We are seeking a highly detail-oriented Payroll Specialist to manage end-to-end payroll operations across multiple jurisdictions. This role is responsible for ensuring employees are paid accurately and on time while maintaining compliance with all applicable payroll regulations in the United States and other international locations. The ideal candidate brings strong technical payroll expertise, exceptional customer service, and the ability to manage multiple payroll cycles in a fast-paced environment.
What You'll Do:
Payroll Processing & Administration
- Process bi-weekly and semi-monthly payroll for multi-state U.S. employees using the UKG payroll platform.
- Coordinate international payroll processing through global payroll partners.
- Manage all payroll activities including off-cycle payments, bonuses, commissions, adjustments, and final pay.
- Accurately calculate wages, overtime, variable compensation, and payroll deductions
- Maintain employee payroll records including time tracking, PTO balances, and leave activity.
- Partner with Benefits counterpart to support accurate benefits reconciliation, including payroll deductions and vendor billing.
- Administer 401(k) plans by processing payroll contributions, coordinating with plan vendors, and supporting compliance and reporting requirements.
Compliance & Reporting
- Ensure compliance with federal, state, provincial, and local payroll regulations across all jurisdictions.
- Manage payroll tax withholdings and support filing of required payroll tax returns (941s, W-2s, global equivalents, etc.).
- Support quarterly and year-end payroll filings and audits.
- Stay current on evolving payroll legislation, tax requirements, and labor regulations.
Reconciliation & Financial Accuracy
- Reconcile payroll registers to the general ledger and resolve discrepancies.
- Perform regular payroll audits to ensure data integrity and compliance.
- Generate scheduled and ad-hoc payroll reports for Finance, HR, and leadership.
Employee Support & Continuous Improvement
- Serve as a key point of contact for employee payroll questions and issue resolution.
- Administer payroll-related deductions including benefits, retirement contributions, and wage garnishments.
- Identify opportunities to streamline payroll processes and improve operational efficiency.
What You Bring:
- Bachelor’s degree in accounting, Finance, Human Resources, Business, or related field (or equivalent experience).
- 3+ years of experience managing multi-state payroll operations; international payroll exposure preferred.
- Hands-on experience with payroll systems (UKG strongly preferred).
- Advanced Excel skills for payroll analysis, reconciliation, and reporting.
- Strong understanding of U.S. payroll regulations and tax compliance; familiarity with payroll requirements in Canada, Spain, Australia, and UK is a plus.
- CPP (Certified Payroll Professional) certification preferred.
