What you'll be doing:
- Manage communication with suppliers, ensuring full compliance with contractual obligations.
- Place and track production orders for goods and packaging; ensure required certificates and documentation are in place.
- Coordinate production details: provide specifications, approve artworks, monitor timelines, resolve disputes.
- Oversee payment terms, schedules, and reconciliations with suppliers.
- Prepare and manage supply contracts and ensure adherence to all terms.
- Respond quickly to deviations from agreements; initiate corrective measures.
- Prepare and manage claims regarding quality or non-performance; negotiate compensation.
- Maintain weekly data on ordered/shipped goods, costs, and associated expenses.
- Keep supplier databases updated and support preparation for exhibitions and follow-up analysis.
- Conduct supplier and product searches in China upon request.
- Perform price benchmarking in China and the U.S. when needed.
- Retrieve information from Amazon Seller Central as requested.
- Execute additional sourcing-related tasks assigned by management.
What we're looking for:
- 2+ years of procurement experience with Chinese suppliers (Procurement, Supply Chain, Sourcing, International Trade).
- Strong negotiation experience and contract management with Chinese partners.
- Understanding of Incoterms 2020, international trade basics, documentation, currency payments, and logistics flow.
- Ability to manage production timelines, approve specs/artworks, and coordinate with factories.
- Skilled in order placement, payments, reconciliations
- Skilled in handling claims, quality issues, and compensation processes with suppliers.
- Experience in maintaining supplier databases, tracking product costs, and preparing procurement reports.
- Confident Excel/Google Sheets user (VLOOKUP, formulas, pivot tables).
- English at Upper-Intermediate (B2)+; Chinese language is a strong plus.
- Background in cosmetics or supplements procurement is a significant advantage.
Additional skills we’d love to see:
- Comfortable working with Chinese factories across different time zones.
- Ability to handle multiple suppliers and parallel production orders.
- Familiarity with e-commerce or Amazon-related supply chains is a plus.
