• Ownership and accountability for marketing project planning and coordination across event marketing teams, ensuring timelines, deliverables, and dependencies are clearly defined and met.

• Lead the planning, tracking, and execution oversight of all marketing activities using Airtable, maintaining accurate, up-to-date project plans, task statuses, ownership, and deadlines.

• Act as the central operational point for marketing planning, ensuring visibility, structure, and consistency across campaigns.

• Oversee and support marketing budget management in collaboration with marketing leads, including updating budgets, tracking spend, and ensuring accuracy and alignment within SAP.

• Manage cross-functional coordination between Marketing, Conference, Operations, Sales, and other internal stakeholders to ensure smooth information flow, aligned timelines, and efficient execution.

• Ensure ongoing alignment between marketing activities and broader business priorities through close collaboration with internal stakeholders.

• Support marketing leads in collecting, structuring, and consolidating data and analytics for reports and management updates.

• Ensure marketing activity data, performance inputs, and operational metrics are accurate, structured, and report-ready for internal and external reporting.

• Manage supplier administration related to marketing activities, including documentation, purchase orders, invoices, and payment coordination, ensuring compliance with internal processes and timelines.

• Act as a liaison between Marketing and Finance/Procurement to ensure PO creation, approvals, and payments are processed efficiently and without delays.

• Continuously improve project management processes, workflows, and planning frameworks, introducing best practices to enhance efficiency, transparency, and accountability across marketing teams.

• Identify operational risks, bottlenecks, or dependencies that could impact delivery and proactively work with stakeholders to resolve them.

Qualifications

  • Minimum of 4–6 years experience in a Project Management, Marketing Operations, or Marketing Project Coordination role, ideally within events, exhibitions, or multi-stakeholder environments.
  • Bachelor’s Degree in Business, Marketing, Project Management, or equivalent professional experience.

Background Knowledge, Skills & Experience

• Strong experience in planning, tracking, and managing marketing activities across multiple teams and projects.

• Hands-on experience managing project planning and workflows using tools such as Airtable (or equivalent project management platforms).

• Working knowledge of budget tracking and financial processes, with experience using SAP or similar ERP systems to support budget oversight, updates, and reporting.

• Proven ability to coordinate cross-functional teams and manage dependencies across Marketing, Conference, Operations, Sales, Finance, and Procurement.

• Experience supporting data consolidation, analytics, and reporting, ensuring accuracy and consistency for management and stakeholder updates.

• Strong stakeholder management skills, with the ability to build effective working relationships across departments and external partners.

• Experience managing suppliers and agencies from an operational and administrative perspective, including contracts, documentation, POs, invoicing, and payment follow-ups.

• Highly organised, detail-oriented, and deadline-driven, with the ability to manage multiple priorities in a fast-paced, pressurised environment.

• Analytical and structured mindset, with strong attention to process, data quality, and operational efficiency.

• Excellent verbal and written communication skills in English & Arabic

• Proficient in MS Office, with strong skills in Excel (tracking, reporting), PowerPoint, and Word.

• Technology-savvy, with the ability to quickly adopt and work with new tools, platforms, and internal systems.

Desirable

• Experience working in events, exhibitions, or large-scale B2B/B2C marketing environments.

• Familiarity with marketing analytics, reporting tools, or dashboards (e.g. Google Analytics, Adobe, internal BI tools) from a coordination and reporting perspective.

• Formal training or certification in Project Management (e.g. PRINCE2, PMP, Agile, or similar).

• Experience supporting multi-market or international marketing teams.
