About the Role

As a Recruiting Coordinator at Actively AI, you’ll play a critical role in enabling our recruiting team by owning interview scheduling and candidate coordination across both GTM and Technical teams — including Sales, SDR, RevOps, Engineering, Product, and Data.

You’ll partner closely with recruiters, hiring managers, and candidates to deliver a seamless, high-touch experience while keeping complex, fast-moving interview processes running smoothly. This role is ideal for someone early in their career who thrives on organization, execution, and learning how elite teams scale.

What You’ll Do

Interview Scheduling & Coordination

  • Own end-to-end interview scheduling across GTM and Technical roles, including complex, multi-round interview loops

  • Coordinate calendars across recruiters, hiring managers, engineers, and GTM leaders

  • Manage real-time scheduling changes in a fast-moving environment

  • Reserve conference rooms and manage onsite interview logistics

Candidate Experience

  • Own the candidate journey from first interaction through offer and pre-onboarding

  • Greet candidates and manage onsite interviews to ensure a polished, welcoming experience

  • Serve as a reliable point of contact for candidates throughout the interview process

Systems, Process & Data

  • Maintain accurate, up-to-date data in our ATS (Greenhouse)

  • Track interview progress and follow up with interviewers to ensure timely feedback

  • Maintain and improve recruiting documentation, processes, and job postings

  • Assist with ad-hoc recruiting and people operations projects as we scale

Who You Are

  • Bachelor's degree in related field

  • Strong interest in recruiting, people operations, or scaling high-performing teams

  • Exceptionally organized with strong attention to detail

  • Proven ability to juggle multiple priorities and execute with precision

  • Strong written and verbal communication skills

  • High EQ and comfort working with senior GTM leaders and technical interviewers

  • Thrive in fast-paced, high-expectation environments

  • Willing to work in-office 5 days per week
