Key Responsibilities
Own interview coordination from end to end: schedule phone screens, virtual interviews, and onsite panels across hiring managers, candidates, and interviewers
Manage all candidate logistics for onsite interviews (parking, security access, directions, plant PPE requirements, etc.) to ensure a smooth candidate experience
Maintain accurate and up-to-date candidate records, interview feedback, and requisition status within the Applicant Tracking System (ATS)
Partner closely with recruiters and hiring managers to understand priority roles, staffing timelines, and plant headcount needs
Draft and post job descriptions to internal and external job boards, ensuring accuracy and alignment with approved templates and branding
Coordinate hiring events, job fairs, open interviews, and campus visits, including room reservations, invitations, and post-event follow-up
Send interview confirmations, reminders, and follow-up communications to candidates, ensuring timely and professional touchpoints
Support pre-employment processes such as background checks, drug screens, medicals/fit tests, and work authorization documentation by coordinating with candidates and third-party vendors
Prepare and route offer letters for approval and delivery, ensuring alignment with compensation guidelines and hiring policies
Track key recruiting metrics (time-to-fill, candidate pipeline, interview volume, offer acceptance, etc.) and support the generation of weekly or monthly reports
Identify bottlenecks in the interview and hiring process and recommend improvements to enhance speed and candidate experience
Help maintain compliance with internal policies and external regulations related to hiring, documentation, and record retention
Coordinate onboarding logistics for new hires (orientation schedules, equipment requests, badge/IT access requests) in partnership with HR and Operations
Provide day-to-day administrative support to the Talent/People team (meeting notes, template updates, document organization) as needed
Qualifications
2+ years of experience in a Recruiting Coordinator, Talent Operations, HR Coordinator, or similar role
Experience coordinating interviews and candidate communication in a fast-paced, high-volume environment (manufacturing or operations preferred)
Hands-on experience with at least one Applicant Tracking System (ATS) required
Familiarity with Ashby or demonstrated ability to quickly learn new ATS platforms; Ashby experience strongly preferred
Proficiency with productivity tools such as Google Workspace or Microsoft Office (especially calendar management, spreadsheets, and documents)
Strong written and verbal communication skills with a professional, candidate-friendly tone
Demonstrated ability to handle sensitive and confidential information with discretion
Basic understanding of recruiting and hiring workflows (requisitions, interviews, offer, pre-employment, onboarding)
