Job Summary

The Sales Operations Coordinator provides operational and administrative support to the Sales team by managing sales leads, coordinating contract creation, maintaining accurate records within Salesforce, and handling regulatory processes such as Oqood registration. The role is office-based and plays a critical part in ensuring sales transactions are processed efficiently, compliantly, and in line with company procedures.

Key Responsibilities

Sales Administration & Lead Management

  • Receive, review, and manage sales leads, ensuring accurate allocation and follow-up within the Salesforce platform.
  • Maintain and update client, unit, and transaction data to ensure data integrity and reporting accuracy.
  • Support the Sales team with day-to-day coordination and administrative tasks. 

Contracts & Documentation

  • Prepare and issue sales contracts, reservation forms, and related documentation in line with approved templates and company policies.
  • Coordinate contract execution, ensuring all required documents and approvals are obtained in a timely manner.
  • Maintain organized records of signed contracts and supporting documents.
  • Ensure all client and broker documentation is complete, compliant, and aligned with internal policies and UAE real estate regulations.
  • Assist in generating daily, weekly, and monthly sales reports, pipeline trackers, and performance dashboards.

Regulatory & Oqood Support (preferred)

  • Support Oqood registration processes and regulatory documentation where applicable, in coordination with internal teams.
  • Assist in tracking transaction statuses, approvals, and required submissions.
  • Ensure awareness of RERA and UAE real estate regulatory requirements, escalating issues when needed.
  • Previous hands-on experience with Oqood is considered a strong advantage but is not mandatory.

 

Salesforce & Systems Management

  • Use Salesforce to track leads, opportunities, contracts, and customer communications.
  • Generate basic sales and operational reports as required by management.
  • Ensure consistent use of Salesforce across the Sales team by maintaining accurate and up-to-date records.

 

Coordination & Internal Support

  • Liaise with Finance, CRM, Legal, and Marketing teams to ensure smooth processing of sales transactions.
  • Support handover of completed sales files to CRM / Customer Care teams.
  • Act as a central coordination point between Sales and back-office functions.
  • Maintain accurate and up-to-date records of leads, bookings, cancellations, and transactions within the CRM system.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Real Estate, or a related field.
  • 3–6 years of experience in sales operations, sales coordination, or CRM within real estate development.
  • Hands-on experience with Salesforce (mandatory).
  • Practical knowledge of Oqood registration and UAE real estate sales processes is highly preferred.

Skills & Competencies

  • Strong organizational and administrative skills with high attention to detail.
  • Ability to manage multiple transactions and deadlines simultaneously.
  • Good communication and coordination skills.
  • High level of accuracy, confidentiality, and professionalism.
  • Proficiency in MS Office and CRM platforms, particularly Salesforce.

Key Performance Indicators (KPIs)

  • Accuracy and timeliness of contract issuance and Oqood registrations.
  • Data accuracy within Salesforce.
  • Efficient lead processing and coordination with Sales.
  • Minimal transaction errors or regulatory issues.
