Role Summary
We are seeking a detail-oriented and proactive Documentation Governance Lead (Level 3) to oversee and optimize our internal documentation ecosystem supporting our MDR operations. This role is pivotal in establishing and maintaining a single source of truth for all organizational documentation. The ideal candidate will design, implement, and enforce documentation standards and governance controls, leveraging AI agents and large language models to identify gaps, audit quality, generate insights, and continuously improve documentation. You will collaborate with cross-functional teams to organize, enhance, and maintain our knowledge base, driving efficiency, reducing information silos, and enabling scalable growth.

What You Will Do

  • Oversee the creation, organization, and maintenance of internal wiki content. Structure spaces, pages, and hierarchies to ensure documentation is intuitive, accessible, and scalable as the organization evolves.
  • Design and implement documentation standards, templates, and governance policies to ensure consistency in formatting, language, versioning, and metadata. Establish controls such as approval workflows, access permissions, and archiving protocols to maintain quality and integrity.
  • Conduct regular audits to identify and eliminate redundant or conflicting information. Consolidate content into a centralized, authoritative repository and monitor compliance to maintain accuracy and trustworthiness across all documentation.
  • Review and edit documentation for clarity, accuracy, completeness, and relevance. Enforce best practices in technical writing, ensuring alignment with established style guides and accessibility requirements. Maintain readiness for future audits by aligning documentation with external compliance standards (e.g., ISO 9001, ISO 27001 / ISO 27002), even in the absence of current certification efforts.
  • Provide training and ongoing support to team members and stakeholders on Confluence usage, documentation best practices, and governance processes. Collaborate with departments to gather input, refine workflows, and ensure documentation meets operational needs.
  • Identify and implement opportunities to enhance documentation workflows, including tool integrations, automation of routine tasks, and use of analytics to evaluate engagement and effectiveness.
  • Monitor and report on key performance indicators (KPIs) such as documentation completeness, update frequency, and user engagement. Deliver insights and recommendations to strengthen governance and optimize documentation performance.
  • Minimize risks associated with outdated or inaccurate documentation by establishing review schedules, ownership accountability, and escalation procedures for timely updates.
  • Leverage AI agents and large language models to audit, evaluate, and enhance documentation. Ensure all content adheres to established standards, governance policies, and quality benchmarks.
  • What You Will Bring

  • Bachelor’s degree in information management, Technical Writing, Communications, Computer Science, or a related field (or equivalent professional experience).
  • 3-5 years of experience in documentation management, knowledge base administration, or a similar role.
  • Proven track record in developing and implementing documentation standards, governance frameworks, and controls in a collaborative environment.
  • Strong understanding of information architecture, content management principles, and best practices for maintaining a single source of truth.
  • Experience conducting audits, quality reviews, and process improvements for documentation systems.
  • Excellent communication, collaboration, and stakeholder management skills, with the ability to influence adoption of standards across diverse teams.
  • Familiarity with emerging tools and automation for knowledge management (e.g., AI-assisted content organization, analytics dashboards).
  • Strong attention to detail, organizational skills, and ability to prioritize multiple initiatives in a fast-paced environment.
  • Preferred Skills
  • Proficiency in Confluence administration, including macros, plugins, blueprints, and integration with Atlassian tools.
  • Familiarity with technical writing tools (e.g., Markdown, HTML) and content management systems.
  • Excellent written and verbal communication skills, with the ability to translate complex information into clear, user-friendly documentation.
  • Strong analytical and problem-solving abilities, with attention to detail and a commitment to accuracy.
  • Ability to work independently and collaboratively in a fast-paced, cross-functional team environment.
  • Knowledge of compliance standards (e.g., ISO 9001, ISO 27001 / ISO 27002) or industry-specific regulations relevant to documentation governance.
  • Certification in technical writing, information architecture, or wiki products is a plus.
  • In Canada, the base salary for this role ranges from $71,000 to $118,000. In addition to base salary, we offer additional  compensation including bonus eligibility and a comprehensive benefits package.  A candidate’s specific pay within this range will depend on a variety of factors, including job-related skills, training, location, experience, relevant education, certifications, and other business and organizational needs.
