Position Summary:
The Senior Payroll Analyst is responsible for overseeing and executing accurate, timely, and compliant payroll processing for a complex, multi-entity healthcare organization. This role requires deep expertise in UKG (Ultimate Kronos Group) systems and hands-on experience supporting multiple healthcare locations with varied pay practices, schedules, and regulatory requirements. The Senior Payroll Analyst serves as a subject-matter expert, ensuring payroll integrity, regulatory compliance, process optimization, and exceptional internal customer service.
This role follows a hybrid work model and requires on-site attendance Monday through Wednesday.
Essential Functions:
To perform effectively in this role, the candidate must fulfill the following duties with or without reasonable accommodations.
- Manage and process end-to-end payroll for multiple healthcare locations, including clinics, and specialty practices, across multiple pay groups and pay frequencies.
- Serve as the primary subject-matter expert for UKG Pro / UKG Workforce Management, including configuration, maintenance, upgrades, and issue resolution.
- Ensure compliance with all federal, state, and local wage and hour laws, including healthcare-specific regulations.
- Oversee payroll audits, reconciliations, and variance analysis; research and resolve discrepancies promptly and accurately.
- Partner with HR, Finance, Benefits, and Operations to ensure accurate employee data, timekeeping, deductions, and earnings.
- Administer complex payroll scenarios, including shift differentials, on-call pay, overtime, bonuses, retroactive pay.
- Support payroll-related aspects of acquisitions, new healthcare locations, and system integrations.
- Prepare and review payroll tax filings, W-2s, and year-end processing; coordinate with third-party vendors as needed.
- Develop, document, and improve payroll processes, controls, and standard operating procedures.
- Provide guidance and mentorship to payroll staff; assist with training and knowledge transfer.
- Respond to employee payroll inquiries with professionalism, discretion, and a high level of customer service.
Knowledge, Skills & Responsibilities:
- Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or a related field (or equivalent experience).
- 5+ years of progressive payroll experience, with at least 3 years supporting multiple healthcare locations.
- Demonstrated expertise with UKG Pro and/or UKG Workforce Management.
- Strong knowledge of payroll compliance, wage and hour laws, and healthcare payroll practices.
- Experience managing high-volume, complex payrolls with multiple pay groups and states.
- Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, formulas).
- Exceptional analytical, problem-solving, and attention-to-detail skills.
