What we’re looking for

  • Strong experience in recruitment administration, HR coordination, or similar support role.
  • Strong understanding of compliance and candidate onboarding processes (e.g., police checks, reference checks, contracts).
  • Proficiency in ATS and HR systems (SmartRecruiters and Salesforce experience highly regarded).
  • Excellent attention to detail and ability to manage multiple tasks with competing deadlines.
  • Strong communication skills and a proactive approach to problem-solving.
  • A desire to learn and grow into a recruiter role over time.

The role

This is an exciting opportunity to join our new internal recruitment team during a period of exciting business change and growth. In this role, you will provide essential administrative and compliance support to ensure a seamless candidate onboarding experience.

You will work with our consultants to manage pre-employment requirements, prepare offer letters, entering in and updating data into our systems, and coordinating onboarding activities. Strong admin skills and a commitment to accuracy are essential, along with the ability to adapt to changing priorities and support recruitment activities during peak periods. We offer a hybrid working model, with a Bella Vista office and work from home options available.

Key responsibilities

  • Coordinate pre-employment compliance including police checks, work rights checks, reference checks, and qualification verification.
  • Prepare and issue employment offer letters and ensure accurate data entry into ATS (SmartRecruiters) and CRM systems.
  • Manage onboarding process and liaise with Operations, IT, Compliance, and Learning teams to ensure new starters have access to systems and equipment.
  • Maintain accurate recruitment records, track compliance and onboarding progress.
  • Provide timely updates to recruiters and managers on candidate status.
  • Monitor and follow up outstanding documentation to meet deadlines.
  • Support process improvements and assist with reporting and dashboards.
  • Contribute to HR and Talent Acquisition projects as required.
  • Provide recruitment support during peak periods or team absences.
