The Billing Operations & Systems Manager is responsible for the day-to-day execution, accuracy, and efficiency of the Company’s billing operations. This role ensures timely and accurate billing, maintains system integrity, supports cross-functional workflows, and leads a small team responsible for billing administration.
You will serve as the primary operational owner of our billing platform, ensuring proper configuration, data accuracy, and alignment with established processes. While this role supports continuous improvement, it is primarily focused on execution, stability, and operational excellence with the opportunity to participate in than long-term strategic transformation.
The ideal candidate has hands-on experience managing high-volume subscription billing in a SaaS, membership, or recurring revenue environment and is comfortable operating within established systems and processes while identifying practical improvements.
Oversee daily billing activities, ensuring invoices are generated accurately and on time.
Manage subscription lifecycle activities including activations, renewals, upgrades, downgrades, cancellations, refunds, and credits.
Monitor billing queues and ensure timely resolution of issues.
Review billing discrepancies and resolve errors in partnership with Sales and Member Experience.
Ensure adherence to billing policies, procedures, and internal controls.
Support month-end close activities, reconciliations, and reporting requests from Finance.
Serve as the internal operational system owner, maintaining data accuracy and audit trails within the system.
Coordinate with technical teams on integrations with Salesforce, payment processors, and accounting systems.
Document processes related to system workflows and configuration.
Identify opportunities to improve automation and reduce manual billing tasks.
Serve as the primary point of contact for operational questions related to the billing system.
Partner with Sales to ensure accurate contract-to-bill handoffs.
Support Member Experience in resolving billing-related inquiries and escalations.
Work with Finance to ensure accurate reporting and reconciliation.
Communicate clearly with internal stakeholders regarding billing timelines and updates.
Track operational KPIs such as billing accuracy, collections status, refunds, and dispute trends.
Prepare recurring operational reports for leadership.
Analyze recurring billing issues and recommend practical process improvements.
5+ years of experience in billing operations, revenue operations, or subscription management.
1–3 years of people management experience.
Hands-on experience administering a cloud-based billing system (experience with Chargebee strongly preferred).
Experience in a SaaS, membership, or recurring revenue business model.
Familiarity with Salesforce and accounting system integrations (Netsuite strongly preferred).
Strong attention to detail and ability to manage high transaction volumes.
Excellent communication skills and a customer-service mindset.
Strong organizational skills with the ability to prioritize and meet deadlines.
