This procurement/logistics/expediting role is responsible for the end-to-end procurement, logistics, warehousing and expediting functions for project-related goods and services, ensuring timely delivery, cost effectiveness, compliance with company policies, and alignment with project and operational schedules.
Key Tasks and Responsibilities
Procurement
- Sourcing and evaluating suppliers, preparing and issuing tender documentation, requests for quotation (RFQs) and manage purchase orders for equipment, materials, and services.
- Arranging for the commercial and technical evaluation of bids and ensuring that purchase orders comply with appropriate specifications and other compliance criteria.
- Assisting with the registration of new sources of supply, including vendor visits where appropriate.
- Ensuring timely purchasing commitments to meet customer requirements.
- Maintain accurate procurement records and supplier databases.
- Collaborate with Maintenance and Operations to ensure critical parts availability.
- Accommodation and vehicle provision administration.
Logistics
- Coordinate transport and shipping of project materials, equipment, and consumables.
- Liaise with Site Warehouse to schedule inbound deliveries and internal distribution.
- Coordinate return freight, warranty shipments, and movement of refurbished spares.
Warehousing & Stores Management
- Maintain stock levels for fast-moving spares in coordination with Maintenance Planners.
- Support barcoding, inventory tracking, and reconciliation systems.
- Oversee rotation, preservation, and shelf-life tracking of perishable materials.
Expediting
- Track vendor production and delivery schedules against project timelines.
- Liaise with suppliers to resolve delays and mitigate risks to project schedules.
- Fast-track critical spares and long-lead items from suppliers.
- Coordinate with freight forwarders to prevent delays.
- Escalate critical delivery issues and recommend corrective actions.
Stakeholder Management
- Work closely with project managers, engineers, and site teams to define material and service requirements.
- Build and maintain strong relationships with suppliers and contractors.
Qualifications
- Incumbents are expected to have qualifications in purchasing, supply, logistics & contract administration or similar.
- Full and current driver licence required
- Minimum 2–5 years’ experience in procurement, logistics, or expediting roles, preferably in project
- Environments (e.g.,construction, resources, mining, infrastructure).
- Proficiency in ERP system Pronto (or similar: SAP, Oracle, or equivalent) and MS Office.
