Equi is seeking a highly dynamic and entrepreneurial Chief of Staff & Agents to work hand-in-hand with our CEO. This role is for someone that loves being in the weeds and overseeing the day-to-day operations of a business. It’s designed for a professional who thrives at the intersection of strategic execution, cross-functional leadership, and technological automation. You will operate like a founder, driving high-level accountability around the firm’s priorities, and simultaneously diving into the weeds to build and implement agentic systems that automate key workflows across the business.
This is a high-impact, highly visible role that requires a strong blend of strategic thinking, operational expertise, and a passion for AI/automation. You will serve as a force multiplier for the CEO and the executive team, ensuring alignment and execution while building the internal systems that will scale Equi for the future. You are a builder, a process optimizer, and a champion for leveraging technology to create compounding efficiencies.
Equi is an investment management firm building institutional-quality alternative investment solutions. We operate a unique business model: in addition to offering Equi-branded funds, we build white label fund of funds products for some of the top independent multi-family offices and financial advisory firms in the country. We combine deep manager selection expertise with sophisticated portfolio construction to deliver differentiated outcomes for our clients and partners. The firm is at an inflection point, our AUM is scaling rapidly, we've signed an LOI to launch an additional fund of funds product, and we expect to sign more LOIs in the coming months. We're assembling a small, high-caliber team that can grow with the platform and take on increasing responsibility as we scale.

Strategy & Accountability (40%)
Executive Support: Report directly to the CEO, owning strategic initiatives and special projects end-to-end that require executive bandwidth.
Cross-Functional Interface: Act as the primary interface between the CEO’s office and all teams (Investment, Marketing, Operations, Technology), ensuring seamless communication and operational clarity.
Operational Cadence: Own the firm’s business cadence, including planning and facilitating weekly leadership meetings, quarterly executive offsites, and annual planning to drive high-level accountability around priorities and goals.
Data-Driven Insight: Create structure and focus for broad, ambiguous ideas, bringing forth data-driven recommendations for action to the executive team.
Pipeline & Reporting: Produce pipeline reports and sales analytics for leadership, tracking prospect engagement and flagging opportunities (leveraging automation where possible).
Automation & Agentic Systems (35%)
Workflow Automation: Dive into the weeds to identify, design, and implement agentic systems to automate key workflows throughout the business, eliminating friction and maximizing leverage.
Tech Ops Ownership: Serve as an internal owner/champion for the firm's tech ops stack (e.g., CRM, project management, internal wiki), constantly looking for ways to create leverage through software and better processes.
Content & Communications Automation: Develop and deploy automation to streamline the creation and distribution of core investor communications (e.g., performance reports, investor letters, content collateral).
Process Optimization: Analyze existing cross-departmental processes (client onboarding, diligence requests, content management) and implement standardized, automated procedures to enhance productivity.
Core Operations & Project Management (25%)
Client Service Support: Field ad hoc investor data requests and support the coordination of quarterly investor communications, leveraging automation for recurring tasks.
Collateral Management: Maintain and manage the sales and marketing collateral library, ensuring version control and accessibility while automating update cycles where possible.
Project Oversight: Provide ad-hoc support on complex projects (research, modeling, internal initiatives), ensuring key projects move forward on time and within budget.
Data Hygiene: Maintain CRM data hygiene, ensuring complete and accurate contact records and interaction logs.
4–6+ years of high-performance professional experience. Candidates are expected to have a strong background in at least two of the three key areas below:
Startup Experience: Direct experience in a high-growth startup environment is highly preferred (experience solely in large corporate structures may require a higher bar).
Finance/FinTech: Experience in Banking, Consulting, Operations, or a similar role within the Finance or FinTech sectors.
"0 to 1" Execution: Demonstrated ability to operate like a founder, taking initiative to build and scale new systems and processes from inception.
Proven experience in designing and implementing automation, process optimization, or agentic systems within an organization.
Direct and concise verbal and written communication skills with exceptional project management skills.
Strong analytical skills with the demonstrated ability to use data analysis to build actionable insights.
Intermediate-to-advanced knowledge of Google Suite, CRM systems (Salesforce, HubSpot, or similar), and project/no-code management software.
Demonstrated ability to work cross-functionally and see perspectives from cross-functional colleagues.
Bachelor's degree in a relevant field.
Familiarity with alternative investments, especially hedge funds or fund of funds.
Strong technical skills and ability to fluently use and learn a wide range of software systems
Experience with marketing automation platforms or content management systems.
Deep understanding of the AI/automation landscape and a strong desire to advance these skills within the role.
