Job Summary: The Construction Administrator plays a key role in bringing Saxbys cafes to life across the country. Supporting a rapidly growing portfolio, this role works hands-on with active construction sites—conducting site visits, coordinating with contractors and vendors, and ensuring every cafe aligns with Saxbys construction standards and brand vision.
Reporting to the Project Architect, the Construction Administrator gains real-world experience across the full construction lifecycle, from early coordination through opening day. With Saxbys opening 10–20 new cafes per year, this role includes meaningful travel and exposure to diverse projects, markets, and teams—making it an ideal launch point for someone excited to grow alongside a fast-scaling, mission-driven company.
What You Will Own
- Site Management: Conduct regular site visits independently, create detailed punch lists, document project progress, and identify issues that require escalation or collaborative problem-solving with the Project Architect.
- Vendor Coordination: Manage day-to-day communication with preferred vendors for owner-supplied FF&E and finishes, track deliveries, and ensure timely procurement of materials.
- Documentation & Tracking: Maintain accurate project schedules, track RFIs and submittals, organize project documentation, and provide regular status updates to the Project Architect and stakeholders.
- Quality Assurance Support: Review shop drawings and equipment specifications, assist with project closeouts, and collaborate with Product, Accounting, and Operations teams to support health department requirements and cafe turnovers.
Who You Will Support
- Project Architect: Provide on-the-ground project intelligence, assist with pre-construction capital estimates, troubleshoot construction challenges, and support strategic construction initiatives.
- Operations Team: Coordinate cafe turnover logistics and communicate project timelines to support operational readiness.
- Product Team: Assist with health department punch lists and equipment specifications to ensure compliance and functionality.
- Accounting Team: Support project budget tracking and vendor payment coordination.

- Successful cafe turnovers with Operations team satisfaction ratings of 4.5+ out of 5

What You Have Done
- 1-2+ years of experience in construction management, architecture or related field
- Construction experience in food & beverage industry preferred
- Demonstrated ability to manage multiple tasks and priorities simultaneously
- Experience with project management software (Procore, Monday.com, Airtable, Gantt charts preferred)
- Working knowledge of construction techniques, terminology and documentation.
- Bachelor’s degree in construction management, architecture, or related field
