Role Overview
Provide high-impact EA/PA support to a senior leader active in venture capital and a Stanford-based PhD program. You’ll own complex scheduling and email triage, coordinate frequent travel, and handle personal/lifestyle operations (family logistics, vendor coordination, remodel admin).
You’ll also pitch in on light recruiting ops (job posts, screening, scheduling). Discretion, speed, and excellent judgment are essential.
What You’ll Do
● Calendar & Scheduling
○ Own complex calendars; schedule/confirm meetings; proactively resolve conflicts; prep agendas & briefs.
○ Coordinate drivers, rides, air travel & hotels, and end-to-end travel itineraries.
● Family & Household Ops
○ Coordinate nanny schedules, school/pickups, and family logistics.
○ Track home renovation timelines, vendors, punch lists, and budgets; keep us ahead of decisions.
● Startup Support ○ Assist with recruiting (sourcing, scheduling, candidate comms), payroll & bill pay (light bookkeeping tasks), vendor management, and simple contracts/NDAs.
○ Social posting: draft, schedule, and publish across selected platforms; maintain a simple content calendar.
● Execution & Accountability
○ Maintain deliverable trackers for us (and our teams), nudge responsibly, and close loops. ○ Run a weekly Sunday prep to align on the next 2–3 weeks, risks, and priorities.

Must-Have Skills & Tools
● Expert with Google Calendar/Meet, Gmail, Docs/Sheets/Drive.
● Experience coordinating travel, vendors, and multi-party schedules.
● Basic ops/finance admin: payroll platforms (e.g., Gusto/Rippling), bill pay/expenses (e.g., Expensify, QuickBooks or equivalent).
● Polished written communication; can draft concise emails, briefs, and social posts.
Nice to Have
● Prior EA/Chief-of-Staff experience with founders or high-growth teams.
● Recruiting coordination (LinkedIn sourcing, ATS basics).
● Light project management for renovations or facilities.
● Social media writing and scheduling tools (LI/Buffer/Hootsuite/Later).
What Success Looks Like (30/60/90)
● 30 days: Clean calendar control; Sunday prep running; active task board; travel playbook created.
● 60 days: Renovation tracker live; vendors on cadence; recruiting pipeline humming; bills/payroll zero-defect.
● 90 days: We’re consistently ahead of decisions; deliverables close on time; social cadence steady; zero surprises.
