ROLE MISSION
As our Virtual Assistant, your mission is to support the daily operations of the business so clients receive a seamless, professional experience and nothing falls through the cracks.
This role is critical to the success of the business. You will manage labs, inboxes, content scheduling, and key platforms while coordinating with vendors and proactively supporting growth. This is not a task-by-task role—you’ll be trusted to take ownership, think ahead, and work independently.

CORE RESPONSIBILITIES & EXPECTATIONS
Lab Ordering & Management
• Order, track, upload, and organize client labs (blood work, DUTCH, GI-MAP, etc.)
• Upload results to Practice Better and internal trackers
• Ensure all lab documentation is accurate and properly filed
Inbox & Client Communication Management
• Manage multiple inboxes daily
• Respond where appropriate and flag items requiring Kelly’s attention
• Maintain timely, professional communication standards
Content Scheduling & Publishing
• Schedule pre-created social media posts
• Publish blogs on Squarespace
• Create and schedule newsletters
Platform & Vendor Management
• Manage and maintain GoHighLevel workflows
• Coordinate with video editing and GoHighlevel vendors
• Ensure systems, emails, and integrations are functioning properly
Operational Support
• Maintain organized records and internal systems
• Proactively identify inefficiencies and suggest improvements
• Support business operations as needed
REQUIRED EXPERIENCE & SKILLS
Required
• Excellent communication and tech skills
• Highly organized with strong attention to detail
• Self-starter who takes initiative and works independently
• Positive, upbeat, and professional attitude
• GoHighLevel
• Able to receive direction and constructive feedback
Preferred (Nice to Have)
• AI tools experience (ChatGPT, automation, etc.)
• Familiarity with Squarespace and Practice Better
• Experience supporting a health, wellness, or service-based business
HOURS & AVAILABILITY
• Part-time role: 10–15 hours per week
• Averages 2–3 hours per weekday
• While the schedule is flexible, this role requires availability during Central Time (CT)
• Systems should be checked consistently Monday–Friday and tasks completed within agreed-upon CT windows
• Opportunity for growth and increased responsibility over time
KEY PERFORMANCE INDICATORS (KPIs)
• Labs ordered, uploaded, and tracked accurately and on time
• Inboxes managed daily with timely responses and clear organization
• Social posts, blogs, and newsletters published on schedule
• GoHighLevel workflows functioning without errors
• Minimal follow-up required on assigned responsibilities
