Job Role: Executive Assistant/Project Coordinator
Compensation range: $1,800 - $2,000 AUD/month
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Their approach focuses on practical strategies for developing people and shaping culture, rather than relying on outdated models or traditional leadership methods.
Role Overview: We are seeking an experienced and proactive Executive Assistant / Project Coordinator to support the CEO across day to day operations and client project delivery. This is a remote position based in the Philippines, requiring strong communication skills, exceptional attention to detail, and the ability to work with a high degree of autonomy.
The role is split approximately 80% Executive Assistant and general administration, and 20% project coordination supporting active client engagements.
Key Responsibilities:
Executive Assistant and Administration (80%)
- Diary and calendar management across multiple time zones, including scheduling, rescheduling, and proactive conflict resolution.
- Email management via Gmail, including drafting correspondence, filtering and prioritising incoming communications on behalf of the CEO.
- Document preparation, formatting, and proofreading across Word, PowerPoint, Excel, Keynote, and Pages. File organisation and management within Google Suite, including Google Drive, Docs, Sheets, and Slides.
- Travel coordination, meeting preparation, and general administrative support as required. Maintaining systems, trackers, and processes that keep the CEO organised and operating efficiently.
Project Coordination (20%)
- Supporting the coordination of client projects, including scheduling, tracking deliverables, and maintaining project documentation.
- Liaising with clients and stakeholders on behalf of the CEO in a professional and considered manner.
- Preparing and formatting client-facing materials to a high standard. Monitoring project timelines and flagging risks or delays proactively.
Requirements
- Proven experience in an Executive Assistant or senior administrative role, ideally supporting a founder, CEO, or senior executive.
- Proficiency across Google Suite (Gmail, Drive, Docs, Sheets, Slides) is essential.
- Strong working knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) is essential.
- Familiarity with Apple productivity tools (Keynote and Pages) is highly regarded.
- Advanced Excel and spreadsheet skills, including formatting, data management, and reporting.
- Excellent written and verbal English communication skills.
- High attention to detail across all written and formatted work.
- Experience in project coordination or client services administration is an advantage.
