Knowledge, Skills, and Abilities:
Prudent seeks a Front Desk Coordinator to join our team. The Front Desk Coordinator serves as the first point of contact for visitors, clients, and employees. This role is responsible for managing front desk operations, providing administrative support, and ensuring a professional and welcoming environment. The ideal candidate is organized, personable, and able to handle multiple tasks in a fast-paced office setting.
What you'll be able to do:
- Greet and assist visitors, clients, and vendors in a professional and friendly manner
- Answer and direct incoming phone calls and emails
- Maintain the front desk and common areas to ensure they are organized and presentable
- Schedule appointments, meetings, and conference room bookings
- Handle incoming and outgoing mail, packages, and deliveries
- Provide general administrative support such as data entry, filing, copying, and document preparation
- Maintain office supplies and place orders when necessary
- Assist with processing insurance requests and providing status updates as needed
- Communicate with internal staff regarding insurance requests when necessary
- Assist with onboarding and other HR-related administrative tasks as needed
- Coordinate with other departments to support daily office operations
- Maintain confidentiality of sensitive information
- Other duties as assigned.
The minimum requirements we seek:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- 1–3 years of administrative, receptionist, or front desk experience preferred
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
- Professional appearance and demeanor
- Ability to work independently and as part of a team
- Valid NYS driver’s license required
