Our ideal candidate will be proactive, adaptable, and able to manage multiple tasks efficiently with a positive attitude. You will be the point person for managing our Austin office, coordinating supplies, handling various vendor relationships, and keeping our swag closet and snack supplies fully stocked. You will also be an integral part of onboarding and offboarding, Skimmer event planning and execution, and maintaining our company culture.
This role, based in Austin, TX, reports to our VP, People, and supports our team with a focus on our Marketing and Finance teams. We expect someone in the office 3+ days/week to handle Office Management responsibilities.
Office Management:
Ensure the office environment is organized, clean, stocked, and functioning efficiently.
Coordinate all office needs, working with building management and all office-related vendors to keep the space and tech of the office working well in support of our employees.
Manage multiple vendor relationships- landlord, IT, cleaning, trash, HVAC and more.
Oversee office supplies, equipment, and inventory and keep us stocked up in a cost efficient way.
Manage incoming and outgoing mailings getting everything where it needs to be.
Manage office space setup and supplies for new employees and visitors.
Be a positive part of the office vibe- caring about our employees and making the office a welcoming and accommodating place to visit.
Be proactive with the Office Calendar- understanding space weeks as they vary from week to week
Order office meals from a variety of restaurants to explore the amazing variety of Austin-based culinary choices
Administrative Support:
Help certain ELT members with their calendar management, travel arrangements, receipt management, and scheduling
Jump into projects in order to handle logistical pieces to make the projects run smoothly
Be the backup for Payroll and other administrative People Operations tasks
Own all necessary mailings- shipping new hire swag boxes, event materials, and any other postal needs
Manage rideshare business accounts, make restaurant reservations, hotel and space arrangements
Send NDAs and other sensitive documents when required
Other duties as assigned.
Events Management:
Manage vendor relationships, including negotiation of terms, invoicing, and performance tracking.
Work with cross-functional teams to ensure branding, invitations, and agendas are well coordinated and aligned to the event’s goals.
Be the “boots on the ground” for all event needs- problem solving and detail planning as required
Be one step ahead of all event needs- making sure that everything is where it needs to be and all details are attended to.
Marketing Responsibilities:
Assist with detail work (shipping, travel, staffing) of marketing events working to delight our customers with Skimmer experiences.
Owner of merch- order whatever merchandise is needed- ensuring branding, sizing, and functionalities are met. Keep all merch organized and available as needed.
Proven administrative experience in a similar role in a fast-paced, tech-focused, high growth environment.
Exceptional organizational skills with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills.
Highly proficient with productivity tools (Google Suite and Slack preferred).
Excited to adopt AI into workflows to improve efficiency.
Detail-oriented with a proactive approach to problem-solving.
Ability to work independently and collaboratively in a team environment.
Preferred Qualifications:
Familiarity with project management tools (e.g., Monday, Notion, Asana, Trello).
Experience working in the SaaS or tech industry preferred.
Previous experience in managing swag and event coordination.
A positive, flexible attitude and a willingness to adapt to a fast-changing environment.
