Role Overview

We are seeking a reliable and detail-oriented Office Manager to join our team full-time. This individual will play a pivotal role in managing administrative tasks, coordinating with technicians, vendors, and clients, and improving operational efficiency. As the central point of contact for customer inquiries and service requests, the Office Manager will ensure timely responses, seamless appointment scheduling, accurate invoicing, and proper job closure.

Job Responsibilities:

  • Customer Service & Communication:
    Handle customer calls, inquiries, and appointment scheduling efficiently.
    Conduct follow-ups to ensure customer satisfaction and proper job closure.
  • Invoicing & Billing:
    Manage invoicing and ensure timely and accurate billing for completed services.
  • Coordination & Scheduling:
    Coordinate appointments, manage technician schedules, and ensure the calendar is full.
    Work with vendors and clients to maintain smooth workflow and job progress.
  • Lead Qualification:
    Qualify inbound leads and ensure proper documentation in CRM systems for future follow-ups.
  • SOP Implementation & Process Improvement:
    Assist in developing and implementing Standard Operating Procedures (SOPs) to streamline operations and improve overall efficiency.
  • Marketing Support:
    Track marketing efforts and assist with follow-ups to maintain engagement and grow the customer base.

Requirements

  • Experience in property management or a related field to understand HVAC and plumbing terminology and reduce the learning curve.
  • Strong organizational skills and attention to detail.
  • Customer-service focused with excellent communication skills (both written and verbal).
  • Self-motivated and able to manage operations independently.
  • Experience with CRM software, appointment scheduling, and invoicing systems.
