For our Legal Department based at our Headquarters in Lausanne, Switzerland, we are looking for a
This central role is dedicated to streamlining administrative workflows and overseeing the full contract lifecycle. You will serve as the departmental hub, providing high-level support for Confidential Disclosure Agreements (CDAs) and alliance-related initiatives across the group.
Requirements
Your responsibilities will be but not limited to:
· Workflow Oversight: Manage the end-to-end contract lifecycle, including formatting and coordinating the execution of legal documents.
· Systems Expert: Act as the internal Subject Matter Expert for DocuSign, providing training and troubleshooting for the department.
· Knowledge Management: Direct digital and physical archiving to ensure all legal instruments are immediately accessible.
· CDA Management: Independently prepare and review CDAs in strict alignment with company guidelines.
· Legal Tech Integration: Drive the adoption of contract automation and identify AI opportunities to improve departmental efficiency.
· Alliance Operations: Coordinate Joint Steering Committee (JSC) meetings, including minute distribution and tracking critical action items.
· Paralegal & IP Support: Assist with notarization, legalization, and agreement preparation, serving as the primary backup for Paralegals.
· Compliance Monitoring: Oversee legal quality checks on clinical databases and manage transparency reporting (e.g., Sunshine Act).
Your profile
· Education: Commercial Employee training (CFC) or an equivalent qualification.
· Experience: At least 5 years of experience in legal operations or a coordinator role within a multinational environment.
· Technical Skills: Advanced MS Office proficiency and a strong aptitude for using AI tools to enhance productivity.
· Languages: Proficiency in English (written and oral); a good knowledge of French is a significant asset.
· Organization: Exceptional skills with a proven ability to manage shifting priorities independently.
· Mindset: A proactive, solution-oriented approach with the responsiveness to thrive under pressure.
· Interpersonal Agility: Ability to collaborate effectively across diverse cultural backgrounds.
