We’re looking for a detail‑oriented, proactive Payroll Associate to join our team and support the full scope of payroll operations. In this role, you’ll work closely under the direction of our Payroll Manager to help ensure accurate, timely, and compliant payroll processing for our employees.
You’ll handle a variety of responsibilities from maintaining payroll databases and generating reports to troubleshooting timecard issues, supporting alternative workweek schedules, and staying on top of wage and hour law updates. You’ll also play a key role in managing time clock rules, preparing General Ledger journal entries, and helping employees and managers navigate timekeeping systems through clear communication and training.

Schedule: Week one: 40 hours, week two: 35 hours
In this role, you'll get to:
Assists in processing bi-weekly payroll using a third party payroll system. This includes but is not limited to audit and validation of total hours in the time and attendance system, importing time and attendance data into payroll, entering payroll batches for retroactive pay adjustments, bonuses, and other supplemental pay amounts and adjustments, running preview reports and processing the final payroll after obtaining the appropriate approvals.Responsible for capturing specific payroll reports in Paylocity after payroll is processed.Updates the payroll system based on Personnel Action Forms (PAF) documents received by HR for existing and new employees. This will includes Clinician Incentive pay, LOA Compensation and make-up time.Processes payroll deductions and adjustments such as employee recognition awards, donations (PP Donations), cell phone reimbursements, lunch penalties etc.Assists in preparing payroll manual checks and separation pay as needed.Receives and responds to pay-related inquiries using discretion and effective oral and written communication with Supervisors, employees, and outside agencies.Performs internal audits to include but not limited to meal period waivers and paid lunch penalties to ensure accuracy and integrity of the payroll and time and labor databases. Assist with bi-weekly timecard internal audits and communicate with staff and supervisors regarding timecard errors and omissions.Completes complex payroll calculations and reconciliations for lunch penalties, alternative work week schedules, and timeclock and rounding rules.Updates Time & Labor Security rights (Second Approvers, Manager Groups). Troubleshoot payroll errors such as timeclock inaccuracies and omissions, reimbursements and/or deductions issues.Processes approvals in Paylocity for changes that have been made by the employee (i.e. Direct Deposit, Tax Withholdings).Partners with HR and/or Supervisors to ensure wages replacements are made in accordance with Federal and State disability law.Reviews the "EE Notes and Comments" report from Paylocity and report any action items to the Payroll Manager. Maintains knowledge of personnel policies pertaining to payroll and enforce or refer problems to Payroll Manager as necessary.Tracks deliveries of paychecks from Paylocity to the employee.Reconcile, balance and requisition payment for garnishments and other miscellaneous payroll deductions.Provide HR with payroll reports, as needed, which will include earnings updates and personnel changes.Assist HR with verifications of employment by providing payroll related information.Sort and distribute mail to the department.
What we're looking for:
High School Diploma or equivalent work experience - Required1+ year of payroll and payroll-related general journal entry experience in the non-profit sector. - Required 2+ years of working in an office setting, working with a team and individuals, competence with office equipment and related software. - RequiredKnowledge of computerized accounting systems and spreadsheet programs. - RequiredSome general Ledger, Payroll, Account Analysis and Reconciliation, Audit Schedule Preparation experience. - Preferred
