About the Role
A rapidly growing pediatric private practice is seeking a skilled and reliable Medical Administrative & Patient Support Virtual Assistant to help manage high-volume patient communication during a busy season (cold/flu). This role is essential to ensuring smooth daily operations, timely scheduling, and excellent patient care.
You will support the provider and medical assistant with:
● Phone triage
● Patient scheduling
● Insurance eligibility checks
● Prior authorizations
● Referral coordination
● Medical admin & billing support
The ideal candidate has experience in healthcare admin, is comfortable communicating with parents, understands patient sensitivity, and is eager to learn pediatric workflows.
Key Responsibilities
Patient Communication & Phone TriageAnswer and manage high-volume patient calls throughout the dayGather key information and route appropriately to provider/MAAssist with basic triage coordination (symptoms, scheduling needs, follow-up questions)Respond to email or website-generated patient inquiriesMaintain a warm, professional tone with parents and caregivers\Scheduling & CoordinationSchedule appointments in alignment with provider availabilityReschedule, cancel, and confirm appointments as neededEnsure same-day urgent visits are handled quickly and efficientlyCoordinate follow-up appointments without requiring provider interventionUse basic Spanish when needed to assist Spanish-speaking families (approx. 10% of the patient base)Insurance, Referrals & Prior AuthorizationsPerform insurance eligibility verificationSubmit and track prior authorizations (training provided)Communicate with insurance companies regarding coverage and statusProcess and track referrals to specialists or external providersFollow up with families regarding documentation requirementsMedical Billing & Revenue Cycle Support (Trainable)The provider is open to training the VA on billing processes. Duties may include:Working on insurance denialsPreparing simple appeal lettersCalling insurers for claim statusAssisting with remits and billing follow-upsEnsuring accurate documentation flows into the billing systemDocumentation & Admin SupportUpdate and maintain accurate patient recordsFollow pediatric-specific workflows and protocolsManage incoming website messages, inquiries, and follow-upsSupport the provider and MA with administrative tasks as needed
Tools & Software

Highly Preferred
