Position Summary:
We're seeking a highly organized, detail-oriented Research and Proposal Coordinator to support our business development efforts. This is a part-time, fully remote position (15-20 hours/week) focused on opportunity research and proposal assembly. Potential for increased hours and expanded responsibilities as the practice grows.
Key Responsibilities
Opportunity Research & Tracking (40-50% of time):
- Daily monitoring of public art RFQ platforms (Call for Entry, PublicArtist.org, CodaWorx, Submittable, etc.)
- Research government RFPs for creative placemaking and consulting services (OpenGov, InstantMarkets, SAM.gov, state/municipal portals)
- Research private sector real estate development projects in target markets (MA, NH, RI, CT, NY, NJ, MD, VA, DC, CA)
- Log opportunities in CRM with key details (deadline, budget, location, requirements)
- Provide initial qualification assessment based on established criteria
Proposal Assembly & Coordination (40-50% of time):
- Pull relevant content from template library (project descriptions, bios, past performance)
- Edit and prepare first draft of proposal content based on templates and past projects
- Format proposals according to RFQ/RFP specifications
- Ensure compliance with submission requirements (page limits, file formats, certifications)
- Coordinate document collection (portfolio samples, art image lists, insurance certificates, references, work samples)
- Prepare submission packages for final review
Administrative Support (10% of time):
- Maintain organized content library with current project images, descriptions, and credentials
- Track submissions, outcomes, and follow-up deadlines
- Generate monthly pipeline reports
Preferred Qualifications:
- Experience with RFPs, grant applications, or procurement platforms
- Background in arts administration, real estate, or architecture
- Familiarity with proposal writing or document assembly
- Experience with CRM systems (HubSpot, Pipedrive, or similar)
Requirements
- Strong written English and good verbal communication skills for occasional video check-ins.
- Highly organized with ability to manage multiple deadlines
- Proficient with Google Workspace (Docs, Sheets, Drive)
- Comfortable learning new software platforms (CRM, project management tools)
- Ability to work independently with minimal supervision
- Reliable internet connection
