Spry Methods is seeking a Records Management Specialist I to support our Army customer in Huntsville, Alabama. This position requires on-site presence in Huntsville, Alabama.
The Records Management Specialist I will be responsible for supporting the implementation and maintenance of effective records management practices across HQ AMC. This on-site role will focus on providing comprehensive records management support for Army Materiel Command (AMC) Headquarters, encompassing all phases of the records lifecycle. The ideal candidate will have experience with records management principles and practices, SharePoint Online, and federal records requirements.
What Your Day-To-Day Looks Like (Position Responsibilities):
Conduct thorough assessments of existing records management practicesVerify the appointment of records coordinators throughout the organizationInventory physical records and document storage locationsAudit SharePoint Online (SPO) permissions and file plansConfirm adherence to established records management policies and proceduresDevelop or validate detailed inventories of all records, both physical and digitalIdentify areas for improvement in records management processesImplement the Army's standardized classification system within SharePoint OnlineOrganize records by mission set, record type, and sensitivity levelEnsure records are easily retrievable through proper organization and metadataMaintain proper indexing of records and prevent commingling of different record typesSupport the implementation of the Army's retention scheduleApply appropriate retention labels to electronic records in SharePoint OnlineOversee timely and secure disposition of records according to retention schedulesVerify label accuracy prior to record deletionCoordinate with HQDA for digitization of long-term records when necessaryEnsure quality control in the digitization processSupport proper archiving of digitized records within SharePoint OnlineAssist in ensuring compliance with relevant regulations (HIPAA, FOIA/PA, etc.)Help identify and mitigate risks related to data security, breaches, and loss of recordsSupport the development and delivery of tailored records management trainingProvide ongoing customer support for records and publications managementMaintain records management support infrastructure (mailbox, Teams channels, etc.)Assist with continuous monitoring of records management processesSupport the development of process improvement recommendationsHelp maintain SharePoint Online libraries and related documentationCollaborate closely with HQ AMC Records Coordinators
What You Need to Succeed (Minimum Requirements):
Education and Experience:Associate's degree in Library Science, Information Management, or related field; Bachelor's degree preferred1-3 years of experience in records management, information management, or related roleExperience with electronic document management systems (SharePoint preferred)Familiarity with records lifecycle management principles and practicesBasic understanding of federal records requirementsSecret Clearance or higherRequired Skills and Competencies:Knowledge of records management principles and best practicesExperience working in Army or DoD records managementExperience with SharePoint Online document libraries and permissionsUnderstanding of records classification and organization methodsFamiliarity with records retention concepts and practicesBasic knowledge of records disposition processesAbility to inventory and catalog physical and electronic recordsExperience creating and maintaining file plansUnderstanding of metadata and its application in records managementBasic knowledge of relevant regulations (HIPAA, FOIA/PA, etc.)Attention to detail and accuracy in records handlingExperience providing customer support for information managementBasic understanding of digitization processes and quality controlAbility to develop and deliver basic training materialsGood communication skills, both written and verbalOrganizational skills and ability to manage multiple prioritiesExperience collaborating with various stakeholdersBasic understanding of information security conceptsAbility to follow established procedures and guidelinesProficiency with Microsoft Office applicationsWillingness to work on-site in Huntsville, Alabama
