The Sales Coordinator provides essential administrative and operational support to the Sales & Marketing Department. Working closely with the Head of Sales, this role assists in contracting, oversees the preparation and distribution of marketing materials, tracks promotional activities such as flash sales, exclusive offers, and prize or complimentary vouchers, and ensures all documentation, partner information, and databases are accurate and up to date. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

DUTIES AND RESPONSIBILITIES

Responsibilities and duties for this position shall include but not limited to the following areas and activities. At the Management discretion, direction may be given for tasks outside the scope of work described.

  • Carry out various tasks as assigned by the Chief Sales & Marketing Officer and Head of Sales.
  • Support the Head of Sales with daily operational tasks across international markets.
  • Assist in contracting
  • Assist in building and maintaining strong relationships with key clients, including travel agencies, tour operators, and corporate partners.
  • Collaborate with other departments to ensure timely and effective follow-ups
  • Communicate professionally with tour operators, travel agencies, and other stakeholders.
  • Coordinate mailings for stop sales, tactical offers and any other communique.
  • May be required to attend client meetings, both in person and virtually, to present proposals, negotiate agreements, and contribute to closing sales.
  • Monitor and update flash sales charts, ensuring accuracy and timely reporting.
  • Under guidance/supervisor oversee brochure and text corrections between hotels and trade partners.
  • Track and ensure completion of health and safety forms between hotels and partners.
  • Manage and monitor prize and complimentary stay vouchers.
  • Under supervision of Head of Sales - Prepare, proofread, and format commercial proposals, presentations, and correspondence.
  • Maintain proper filing systems (electronic and hard copy) for all sales and marketing documents.
  • Keep mailing and contract databases/checklist current and accurate.
  • Ensure regular updates and dispatching of brochures, giveaways, and promotional materials.
  • Record and update information in Opera Cloud and other relevant systems.
  • Manage office supplies and ensure adequate stock of marketing materials.
  • Coordinate with flight arrangements for Head of Sales for their respective business trip
  • Prepare vouchers for Eductours /sponsorship.
  • Collect and organize relevant hotel information as requested HOS,
  • Prepare and send monthly statistics and biweekly checklists to all offices and representatives.
  • Perform any other duties as assigned by the Chief Sales & Marketing Officer and Head of Sales.

Qualification:

  • BSC in business administration, marketing, or a related field is frequently required or preferred.
  • Having a minimum experience of 2 year to 3 years in the hospitality sector or Sales & Marketing or similar position

Requirements:

 

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

  • Excellent organizational skills with strong attention to detail.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Strong follow-up and time management abilities.

  • Professional verbal and written communication skills - English & French

  • Team Player

  • Ability to interact effectively with internal teams, clients, and business partners.

  • Discretion and professionalism when handling confidential information.

  • Strong sense of initiative and ability to anticipate team needs.

  • Accuracy in tracking and reporting 

  • Ability to support proposal preparation, presentations, and marketing collateral.

  • Positive attitude and adaptability to changing priorities.
