Planned Parenthood Western Pennsylvania (PPWP) is the local affiliate of the country’s leading sexual and reproductive health care advocate and provider. PPWP operates five health centers located in Allegheny, Westmoreland, and Cambria Counties and provides education and advocacy services throughout western Pennsylvania.
The Senior Accountant reports directly to the Chief Financial Officer, leads a small team that spans the Finance and Medical Billing departments, and works collaboratively with department heads of the organization in internal and grant reporting.
EssentialFunctions:
· Assist with ensuring financial transactions are timely, accurate and complete in the accounting system, in accordance with generally accepted accounting principles (GAAP) for nonprofit organizations. This includes ensuring all accounting transactions are performed and captured in the accounting system including those resulting from processing accounts payable, cash receipts, accounts receivable, credit card transactions, and payroll transactions.
· Assist in enforcing and monitoring adherence to policies and procedures, improving and developing new policies and procedures as needed.
· Assist with the performance of the annual external audit, annual tax return preparation, and other regulatory reporting requirements. Prepare schedules and compile required information for external auditors. Assist with external firm’s PPWP 990 preparations.
· Prepare and/or manage the preparation of various account reconciliations. Create, reconcile and analyze liability, asset, and capital accounts by compiling electronic data and required documentation. Prepare reconciliations for balance sheet and income statement accounts as well as for revenue cycle, including various analyses to properly interpret and assess data related to revenue cycle and billing claim data. Research and resolve any related accounting or reconciliation discrepancies.
· Provide accounting support and oversight for the Billing/Revenue Cycle, including the management of revenue cycle transactions, reporting, routine reconciliations and various analyses.
· Provide technical support for Paychex in processing the bi-weekly payroll, including performing a detailed review of data inputs and draft reports before payroll is submitted. Assist in maintaining personnel files and in ensuring all pertinent information is received timely and retained appropriately. Assist in monitoring personnel data in Payroll Software.
· Assist the department in providing technical support for Accounting as PPWP begins using new features and modules within accounting software (i.e. cash receipts, inventory, payroll, etc.). Assist in updating, monitoring and maintaining data sources within accounting software.
· Assist in maintaining any automated processes as well as implementing or improving any existing process/procedure. Assist in organizing paper and electronic files; provide support in transitioning from a paper file system to an electronic system; ensure files are maintained in an efficient and effective manner that adheres to Finance’s policies and PPWP’s document retention policies (i.e. Billing, Administration, Accounting/Finance).
· Provide support to staff and departments in problem-solving, budget variances, and discrepancy resolution. Perform ad hoc projects such as data analysis, account reconciliations.
· Assist in the tracking and monitoring revenue cycle and non-revenue cycle Accounts Receivable balances, including the completion of monthly reconciliations for all balance sheet accounts, using corresponding module in accounting software.
· Assist in maintaining inventory and cost control procedures.
· Assist in the administration of payroll, including oversight of Payroll system, payroll service provider, processing of payroll, reporting required as a result of payroll (i.e. W-2s, W-3, quarterly tax reporting, processed via third-party payroll software), Employee Paid time off, Holidays.
· Assist in the Oversight, monitoring and implementation of effective internal control systems, policies, processes, procedures, and systems over any area that falls within the organization’s fiscal function (Revenue Cycle, Payroll, Accounting system, Purchasing, Cash Receipts, Cash Disbursements, Reporting).
· Additional responsibilities include, but are not limited to the following:
· Manage the process in which accounting transactions are captured and coded in the accounting software, including all bank and credit card transactions.
· Participate in budget process, internal reporting, special projects and impromptu reporting, reconciliation, & troubleshooting.
· Assist CFO and Accounting Manager in carrying out the functions and decisions of the senior management team as well as assist in the development, implementation and monitoring of strategic objectives and goals for fiscal functions.
· Maximize technological resources available, by generating reports from various data sources and performing various analyses and reconciliations to ensure maximization of reimbursement from insurance companies and grantors (i.e. Adagio).
