Job Role: Senior Bookkeeping & Finance Operations Specialist

Compensation range: $3,000 – $3,500 AUD/Month

Engagement type: Independent Contractor

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is:

Our client is a well-established, family-operated supplier in the landscape materials industry, with multiple generations of experience in their regional market. They specialise in sourcing, curating, and delivering a wide range of natural stone, landscape rock, and related materials suitable for residential, commercial, and civil projects.

About the Role

This role is for a senior offshore finance professional, performing end-to-end bookkeeping while providing management-level financial insights. The ideal candidate is closer to a junior financial controller, capable of managing daily transactional finance, month-end close, reporting, and cash flow forecasting. This is not a data-entry role, we need someone who can actively improve processes, margin control, and financial discipline.

Key Responsibilities:

1) Transactional Finance Ownership

  • Manage end-to-end accounts payable and receivable, including processing invoices, following up on customer payables, collections, and supplier payments.
  • Perform daily or near-daily bank and credit card reconciliations.
  • Maintain clean, consistent coding aligned with management reporting needs.
  • Complete payroll tasks accurately and on time.
  • Maintain account review processes, including assessing new accounts and creating documentation for terms and procedures.

2) Month-End Close (Controller-Lite Standard)

  • Run a structured month-end close with a documented checklist.
  • Deliver P&L, balance sheet, and basic cash flow reports as part of month-end.
  • Reconcile key balance sheet accounts and call out any variances.
  • Ensure payroll, GST, and inventory balances reconcile.

3) Compliance Support

  • Prepare GST/BAS schedules for accountant review.
  • Maintain payroll compliance (super, PAYG, leave liabilities).
  • Coordinate clean handover to external accountants for year-end and tax purposes.

4) Inventory, Margin, and Profitability Insight

  • Maintain accurate inventory valuation and adjustment processes.
  • Produce gross margin reporting by product, customer, or channel.
  • Identify margin leakage, pricing issues, and cost allocation problems.

5) Cash and Working Capital Management

  • Maintain a rolling cash forecast and highlight upcoming risks early.
  • Actively manage receivables and support credit control processes.
  • Plan supplier payments aligned with cash position and terms.

6) Management Reporting and Insight

  • Produce a monthly management pack with variance commentary.
  • Highlight key issues, trends, and recommend actionable steps.
  • Track KPIs relevant to sales, margin, and cash performance.

Expected Outputs & Cadence:

  • Daily/Weekly: Bank reconciliations, invoicing, allocations, AR collections, and cash forecast updated.
  • Monthly: Month-end close completed, management reports issued with commentary, balance sheet reconciled.
  • Quarterly: Demonstrable process improvements and control enhancements.

Systems: Keypay, Odoo, Power BI, Excel, FathomHQ or similar

Requirements

Required Skills and Qualifications:

  • 6–10+ years’ experience in bookkeeping, accounting operations, or assistant controller roles (preferably with Australian SME experience).
  • Strong English communication and confident liaising with business owners and external accountants.
  • Comfortable working independently with clear accountability.
  • CPA qualification is advantageous but not mandatory.
  • Highly organized, detail-oriented, and proactive problem-solver.
