About the Role
Osmo is seeking a highly detail-oriented Raw Material Purchasing Assistant to support our procurement operations and ensure the uninterrupted supply of the high-quality ingredients that define our fragrances. This role sits at the intersection of suppliers, internal labs, and production, and is critical to maintaining inventory accuracy, regulatory compliance, and on-time material availability.
You will work closely with global vendors and internal stakeholders to manage purchasing workflows for essential oils, aroma chemicals, solvents, and fragrance bases—operating in a fast-paced environment where precision is non-negotiable.
What You’ll Do
Order Management
Execute purchase orders for raw materials (naturals, synthetics, and bases) based on production schedules, forecasts, and supplier lead times.
Ensure pricing, quantities, specifications, and delivery terms are accurate prior to order release.
Supplier Coordination
Maintain regular (often daily) communication with domestic and international suppliers.
Track order status, confirm shipment timelines, resolve pricing or invoice discrepancies, and proactively manage delivery risks.
Inventory Control
Monitor inventory levels to prevent stock-outs while avoiding excess inventory.
Coordinate closely with lab and production teams to support just-in-time material arrivals for active briefs and production runs.
Quality & Regulatory Compliance
Collect, organize, and maintain required documentation for all raw materials and batches, including:
IFRA Certificates
Certificates of Analysis (COAs)
Safety Data Sheets (SDS)
Ensure documentation is complete, accurate, and readily accessible for audits and internal reviews.
Sample Procurement
Request and track samples of new harvests or supplier batches.
Coordinate delivery to internal perfumery and quality teams for evaluation and approval.
Market Monitoring
Support the Senior Procurement Manager by tracking price fluctuations in natural ingredients influenced by crop cycles, climate conditions, and supplier availability.
What You’ll Bring
Experience
1+ years of experience in purchasing, supply chain, procurement support, or administrative operations.
Experience in chemicals, cosmetics, or fragrance is a strong plus.
Education
Associate’s or Bachelor’s degree in Business, Supply Chain, Chemistry, or a related field.
Technical Skills
Proficiency with ERP systems such as SAP, Oracle, or Microsoft Dynamics.
Advanced Excel or Google Sheets skills (formulas, tracking sheets, data accuracy).
Core Attributes
Strong negotiation and vendor-management skills, with the resilience to handle difficult conversations.
Exceptional attention to detail—accuracy is critical when ordering chemical materials.
Ability to thrive in a fast-moving environment where priorities shift quickly due to rush fragrance briefs.
Nice to Have
Working knowledge of IFRA (International Fragrance Association) standards and documentation.
Familiarity with global logistics and shipping requirements for hazardous or flammable materials.
Genuine interest in fragrance and raw materials, including an understanding of distinctions between similar naturals (e.g., Lavandula angustifolia vs. Lavandula latifolia).
Base Salary: $75k-90k
