Role Overview

The Talent Acquisition – Onboarding Specialist is responsible for delivering a seamless and engaging onboarding experience for new hires across international geographies. This role manages the end-to-end onboarding lifecycle—from pre-boarding to Day 1 readiness—while acting as a key liaison between candidates, recruiters, hiring managers, and internal teams.

Key Responsibilities

  • Serve as the primary point of contact for candidates during the pre-hire and onboarding stages, addressing queries and ensuring a smooth transition.
  • Coordinate end-to-end onboarding activities, including welcome communications, start date confirmation, orientation scheduling, and Day 1 readiness.
  • Manage background verification and drug testing processes based on job role and location; review results and provide clearance.
  • Schedule start dates and assign appropriate onboarding events within learning systems.
  • Update candidate records and onboarding status in HRIS platforms (e.g., Workday).
  • Share Day 1 instructions with candidates, hiring managers, and recruiters, including reporting details, badging, I-9 requirements, and orientation schedules.
  • Collaborate closely with recruiters, hiring managers, and business stakeholders to ensure timely and compliant onboarding.
  • Maintain accurate onboarding documentation, trackers, and reports in HR systems.
  • Support regional and global onboarding initiatives as required.

Required Experience & Qualifications

  • 2–8 years of experience in candidate onboarding, with mandatory exposure to US or international onboarding processes.
  • Hands-on experience working with HRIS systems (such as Workday, SAP SuccessFactors, or similar).
  • Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).

  • Basic understanding of US employment laws and compliance requirements.
