We are seeking a detail-oriented and highly organized Administrative Assistant to support our team on a dynamic semiconductor construction project in Chandler, AZ. This role provides critical administrative and executive support to customer senior leadership and the broader project team in a fast-paced construction environment.
The ideal candidate is proactive, highly organized, and comfortable managing multiple priorities while maintaining accuracy and professionalism.
Key Responsibilities
Provide comprehensive administrative support to project managers and five customer senior leaders.Manage complex calendars for senior leadership, including scheduling meetings, resolving conflicts, and coordinating logistics.Track training requirements and maintain onboarding documentation for new team members.Support onboarding processes, including coordinating access requests, equipment needs, and required documentation.Maintain organized file management systems to ensure accurate document control and easy retrieval of information.Assist with preparation of reports, tracking logs, visual dashboards, and presentations using Microsoft Excel and PowerPoint.Coordinate meetings, including preparing agendas, capturing notes, and tracking follow-up action items.Monitor deadlines for administrative deliverables and assist with ensuring timely completion.Facilitate communication between internal teams, subcontractors, vendors, and customer leadership as needed.Perform additional administrative duties as assigned to support evolving project needs.
Required Skills & Experience
Proficiency in Microsoft Excel, including formulas, charts, and pivot tables. Strong PowerPoint skills for preparing clear, professional presentations. Experience managing calendars and providing direct support to senior leadership. Exceptional attention to detail and strong organizational skills.Strong verbal and written communication skills.Ability to work independently while supporting multiple leaders.Comfortable working in a fast-paced, onsite construction environment.Prior administrative experience in construction, engineering, semiconductor, or large project teams is preferred.
Preferred Qualifications
Experience with training tracking or compliance reporting tools.Familiarity with construction documentation or project tracking systems.Local candidates are strongly preferred due to the onsite nature of the position.
Education
Associate’s or Bachelor’s degree in a related field preferred but not required. Equivalent experience will be considered.
