We are seeking a sharp, proactive, and highly organized Executive Assistant to serve as a true right-hand partner to a founder in a fast-moving, high-performance environment.
This is not a traditional administrative role. You will operate as a force multiplier — managing inboxes, synthesizing information, driving follow-through, improving systems, and ensuring nothing falls through the cracks.
The ideal candidate is fast, discreet, tech-forward, and comfortable chasing leadership and teams to maintain momentum once they understand the executive’s style and priorities.
Speed, judgment, and confidentiality are critical.

Responsibilities:
Executive & Inbox Management
- Own and manage a high-volume inbox — triage, prioritize, draft responses, and flag critical items.
- Ensure timely follow-up across stakeholders.
- Proactively chase outstanding action items from both the executive and team members.
- Maintain structured task tracking across initiatives.
Proactive Executive Partnership
- Learn the executive’s working style, communication patterns, and priorities.
- Anticipate needs before they arise.
- Hold leadership accountable to timelines when needed.
- Serve as a gatekeeper while maintaining strong relationships internally and externally.
Note-Taking, Synthesis & AI Utilization
- Capture meeting notes and convert them into clear summaries, action lists, and follow-ups.
- Use AI tools to synthesize, refine, and accelerate output (ChatGPT, transcription tools, etc.).
- Turn rough ideas into structured plans, briefs, or execution documents.
- Translate ambiguity into clarity and next steps.
Systems & Workflow Management
- Build and iterate task tracking systems (Notion, Asana, Airtable, or similar tools).
- Continuously improve workflows for speed and clarity.
- Maintain organized documentation across Google Drive and other platforms.
- Create repeatable processes that scale with the organization.
Cross-Functional Coordination
- Act as communication bridge between the executive and team.
- Track project progress and surface bottlenecks early.
- Ensure alignment across multiple workstreams.
Requirements
- 3+ years of experience as a high-level Executive Assistant supporting a Founder, Principal, or C-suite executive in a fast-paced environment.
- Demonstrated ability to operate as a true right-hand partner — not just task support, but execution ownership.
- Exceptional organizational discipline with the ability to manage multiple high-priority workstreams simultaneously without dropping details.
- Proven track record of proactively driving follow-ups and holding executives and teams accountable to deadlines.
- Strong judgment and absolute discretion; experience handling highly confidential information.
- Ability to thrive in ambiguity and turn unstructured ideas into clear plans, summaries, and next steps.
- Highly responsive, fast-moving, and action-oriented.
- Excellent written communication skills with the ability to produce executive-ready summaries and correspondence.
- Advanced proficiency with Google Workspace and digital collaboration tools.
- Experience using (or quickly mastering) tools such as Notion, Asana, Airtable, CRM systems, and AI productivity tools.
- Comfortable working remotely across time zones and in startup or high-growth environments.
- Strong preference for candidates who have supported US-based executives.
Preferred (But Not Required)
- Experience with Notion, Asana, Airtable, or similar tools.
- Strong familiarity with AI productivity tools and workflow automation.
- Background supporting founders, principals, or senior leadership in high-growth environments.
