Bridger Aerospace is an aerial firefighting company based in Belgrade, Montana, located at the Bozeman Yellowstone Airport (KBZN). It was founded in 2014 to support front-line firefighters with world-leading technology and aerial fire suppression systems. We have grown from operating a single plane to commanding a significant Air Attack and the largest Super Scooper fleet in the U.S. in less than eight years. Bridger is a leader in fighting wildfires, specializing in Air Attack, Fire Suppression, and Aerial Firefighting technologies. About the Role
The Executive Assistant provides high-level administrative and operational support to executive leadership while managing the daily operations of Bridger’s front office. This role requires exceptional organizational skills, discretion, and professionalism, serving as both the face of Bridger Aerospace and a trusted partner to executive leadership in driving coordination, communication, and execution across the company. This position is based at Bridger Aerospace HQ in Belgrade, MT and is full-time. The ideal candidate thrives in a fast-paced environment, is proactive in anticipating needs, and demonstrates strong judgment and attention to detail in every interaction.
Reports to: Chief of Staff
Responsibilities:
Executive Support and Confidentiality
- Provide comprehensive administrative support to executive leadership, including calendar management, meeting coordination, travel logistics, and document review.
- Assist with tracking and follow-up on key initiatives, board-related materials, and executive deliverables.
- Support communication flow between the Executive Team and internal/external stakeholders, always maintaining confidentiality and professionalism.
- Operate as a trusted gatekeeper and strategic partner to executive leadership.
- Exercise independent decision-making authority in dynamic, high-pressure situations.
Executive Travel & Logistics Management
- Own end-to-end domestic and international travel planning for executive leadership, including complex multi-city itineraries, ground transportation, lodging, and dining reservations.
- Anticipate travel needs and proactively manage logistics across time zones to optimize executive time, efficiency, and cost.
- Prepare detailed travel briefs including meeting agendas, contact information, security considerations, weather, local protocols, and contingency plans.
- Coordinate directly with aviation partners, charter providers, FBOs, and flight crews when applicable.
- Manage international travel requirements including passports, visas, customs documentation, travel advisories, vaccination requirements, and country-specific entry regulations.
Executive Calendar and External Stakeholder Scheduling
- Manage highly complex executive calendars with precision, balancing internal priorities, Board commitments, investor relations, and external client engagements.
- Coordinate meetings with senior government officials, defense partners, aviation operators, board members, and strategic investors.
- Serve as primary scheduling liaison for high-profile external stakeholders, maintaining professionalism, discretion, and urgency.
- Align meetings across multiple time zones, ensuring seamless transitions between calls, site visits, and travel commitments.
- Prepare briefing materials in advance of external meetings, including background research and relationship context.
Operational & Event Coordination
- Support scheduling and logistics for internal meetings, executive sessions, and company events.
- Assist with preparation of presentations, reports, and communications for leadership and staff meetings.
- Partner with the People Operations and Facilities teams to support company gatherings, town halls, and community engagement activities.
Administrative Excellence
- Support process improvement initiatives related to administrative efficiency and communication flow.
- Anticipate administrative needs and proactively address potential issues before they arise.
- Monitor and order office supplies: envelopes, notepads, pens, batteries, etc.
- Manage coffee supply orders, and coordinate machine repairs.
Front Office Management
- Oversee front desk operations, greeting and assisting visitors, answering incoming calls, tracking and responding to incoming emails, and managing the visitor experience at Bridger headquarters.
- Ensure the front office environment reflects Bridger’s professional standards and company culture.
- Manage office supply inventory, mail distribution, and vendor coordination for front office and facility needs.
- Serve as the point of contact for building maintenance, deliveries, and catering services.
Job Requirements:
Required:
- 5+ years of executive-level administrative experience
- Strong organizational, time management, and problem-solving skills
- Exceptional written and verbal communication abilities
- High level of integrity, discretion, and judgment
- Proficiency in Microsoft Office and other organizational tools
- Ability to anticipate needs and solve problems independently
- Experience supporting C-suite executives
Preferred:
- Prior experience in aviation, aerospace, or a public company environment
- Associate’s or bachelor’s degree in Business Administration, Communications, or related field
