We’re looking for an Executive Assistant to support the CEO across operational, financial, and coordination responsibilities. This role is critical to keeping day-to-day operations running smoothly and ensuring the CEO can stay focused on high-impact work.
You’ll be a trusted right hand — highly organised, proactive, and comfortable juggling both business and personal operations with discretion and attention to detail.
In this role, you will:
Manage calendars, meetings, and scheduling, including proactive rescheduling and conflict resolution
Support invoicing and payment workflows, including reconciliation, tracking, and follow-ups
Coordinate with accountants and external partners on invoices, VAT returns, and required documentation
Maintain structured systems for recurring payments, records, and operational data
Handle vendor and service provider coordination and follow-ups
Organise and manage important documents and proofs of payment
Provide clear written updates, reminders, and status tracking
Anticipate needs, flag issues early, and resolve problems independently
You will work closely with the CEO and external partners to keep operations running smoothly behind the scenes.
1+ years of executive support experience
Exceptionally organised with strong attention to detail
Clear, professional written and verbal communicator
Comfortable managing both business and personal operations
Proactive, reliable, and able to manage multiple priorities
Experience with tools like Notion and accounting software (e.g. Xero)
Discreet and trustworthy when handling sensitive information
